We are looking to recruit a full-time receptionist to join our Obstetrics & Gynecology team, located at the Norfolk & Norwich University Hospital. This is a permanent position which will require some flexibility in working pattern to ensure the service is covered during clinic times.
A friendly, enthusiastic, motivated, and hard-working person is required to join our busy team. You will provide high quality reception and support service within the department to both patients, their relatives, and a wide range of multi-professional staff. You will be joining a well-established, dedicated, and friendly team, this would be a great opportunity to join an expanding and exciting department.
This role will predominantly involve the post holder to work on our outpatient reception desks in Antenatal and Gynaecology outpatients.
You will learn how the busy departments within Obstetrics and Gynaecology Services work and you will be taught various NHS systems, admin skills and contribute to and support very busy fast paced teams.
Responsibilities will include dealing with telephone enquiries, booking appointments, and organising patient notes, checking patients in dealing with general queries from patients and staff. In order to provide a support service to the technical staff, a versatile approach is essential and the ability to cope with a large number of tasks simultaneously is a prerequisite of this post.

- To provide a support service to the technical, secretarial, medical and nursing staff of the Department.
- To carry out receptionist duties, including prioritising and arranging appointments and maintaining the various appointment systems, identifying test requests and investigations, and co-ordinating the various clinics within the department.
- To deal with patients and external and internal staff enquiries in person or via the telephone, in a courteous and confidential manner and provide assistance as required.
- To ensure patients safety and well-being in the waiting area prior to them being called for their appointment and alerting appropriate staff to any cause for concern.
- To keep a log of telephone requests for investigations in line with department policy, prioritising these and ensuring messages are conveyed to the appropriate technical staff.
- To ensure appointment lists are maintained and prepared in readiness for clinical work.
- To obtain and prepare notes in readiness for clinics, investigations or at the request of staff within the department.
- To maintain a record of the transfer of notes to and from the department.
- To understand the 18 Week Pathway, input the correct RTT codes and validate the patient pathway where appropriate.
- To liaise with Secretaries and other departments within the Trust as necessary to ensure case notes, X-rays and referrals are available for every patient attending an outpatient clinic. Liaise with external stakeholders to obtain referrals if necessary.
