Position Description:
Mathematica is seeking a bright, energetic and enthusiastic receptionist to join the team in our Princeton, NJ office! The ideal candidate will professionally represent Mathematica, Inc. by being the first to greet both visiting and virtual clients, providing general information and also helping support many administrative tasks. This candidate will perform a wide-range of duties requiring knowledge of Mathematica's policies, procedures and personnel. Maintaining a high level of professionalism will be crucial to your success in this position.
Core Responsibilities:
- Represent the Mathematica brand appropriately in creating a welcoming culture to everyone that is in the office, including employees, guests, clients, and candidates.
- Energetically greets incoming visitors and notifies appropriate staff members of the arrival of visitors.
- Provide telephone coverage, operates multi-line phone system, answers call in a timely and professional manner, provides routine information, and directs calls to appropriate persons.
- Provide oversight and manage conference room scheduling, including coordinating reconfiguration and breakdown before and after meetings.
- Assist Facility Manager with the coordination of building access security system including updating access key card information in Workplace, issuing access cards, and creating employee badges.
- Provides exceptional first-day experience to new hires, including preparing for their arrival, coordinating with Human Resources and Facilities for their office space readiness.
- Processes invoices, track purchase orders and directs incoming mail to the mailroom. Coordinate mail-related services – such as monitoring and reconciling business reply envelopes, charges for Federal Express, prints labels for USPS priority mail bulk projects.
- Assists Facilities Manager in the coordination and scheduling of office cleaning and entering/tracking of facilities tickets.
- Takes new employee photo’s for ID badges using IDMaker software.
- Perform ad-hoc administrative tasks such as data entry, preparation of materials, entering expense reports, booking travel, and assisting other departments as needed.
- Actively support the advancement of organizational diversity, equity, and inclusion efforts, and apply diversity, equity and inclusion lens across job responsibilities.
- Additional duties may be assigned as needed
Position Requirements:
- High school diploma or equivalent + 2 years’ experience.
- A combination of equivalent education and work experience may be substituted for the above requirement
- 2+ years of experience in reception, administrative support, or other related experience
- Proficiency in Microsoft programs such as Outlook, Word, and Excel.
- Experience using Microsoft Outlook to reserve rooms and coordinate cross-office meetings
This position offers and anticipated base salary of $40,000 - $45,000 annually.
Available locations: Princeton, NJ
Although Mathematica does not require vaccination from COVID-19 as a condition of employment, various projects or agencies may require documentation of vaccination (or an approved exception/accommodation).
Various federal agencies with whom we contract require that staff successfully undergo a background investigation or security clearance as a condition of working on certain projects. If you are assigned to such a project, you will be required to obtain the requisite security clearance.
