Responsibilities:
- Greet and welcome clients, visitors, and staff in a professional and friendly manner.
- Manage the reception area, ensuring it is clean, organized, and presentable at all times.
- Answer and direct incoming phone calls, taking messages and transferring calls as necessary.
- Schedule and coordinate appointments, meetings, and conference room bookings.
- Maintain a high level of confidentiality and discretion in handling sensitive information.
- Assist with administrative tasks, such as preparing documents, managing correspondence, and maintaining office supplies.
- Receive and distribute mail and packages, ensuring accurate and timely delivery.
- Coordinate travel arrangements and accommodations for attorneys and staff as needed.
- Liaise with building management and external vendors to address facility-related issues and requests.
- Collaborate with other administrative staff to ensure seamless office operations.
Qualifications:
- High school diploma or equivalent; additional relevant certifications or training is a plus.
- Previous experience as a receptionist or in a customer-facing role is preferred.
- Exceptional verbal and written communication skills, with a professional and courteous demeanor.
- Strong organizational and multitasking abilities, with excellent attention to detail.
- Proficiency in MS Office Suite and experience with telephone systems and office equipment.
- Excellent time management skills, with the ability to prioritize tasks and handle interruptions.
- Ability to maintain composure and professionalism in high-pressure situations.
- Knowledge of legal terminology and the ability to handle confidential information is desirable.
- Flexibility to work occasional evenings or weekends, if required.
