Due to increased demand we are looking for an additional receptionist to join our friendly and close knit Operations team in central London (St James, SW1Y 6QB). The team consists of Reception, Facilities and Catering and has a real ethos of all helping out and being flexible when needed. The London Korn Ferry office has three floors for Korn Ferry colleagues and one floor where external meetings are held in our 27 meeting rooms. These meetings are attended by Korn Ferry clients and candidates, and are usually attended by senior business leaders.
Reporting to the Facilities Manager, you would be the first point of contact for all clients and colleagues. Along side another full time receptionist you would work as a team to ensure all visitors are welcomed and the floor runs smoothly.
Responsibilities;
- Greeting external guests in a polite and professional manner. Ensuring they are seated in the correct room, announcing them appropriately and arranging refreshments with Catering.
- Receiving and directing calls through the switchboard in a polite and efficient manner.
- Overseeing room bookings on our system Condeco for a variety of internal and external meetings, while ensuring conflicts are avoided
- Assisting with meeting room set up and as required helping provide refreshments, supporting technology (Teams, zoom, projectors etc) and providing equipment.
- Testing & monitoring all equipment within the meeting rooms and reporting any faults within a timely fashion.
- Organising and maintaining all relevant reception documentation.
- Uploading invoices into our accounts payable system in a timely manner
- Arranging couriers, taxis, printing or binding on occasion
The ideal candidate will;
- Have some prior experience in an external, client facing role as such as reception, catering or facilities; preferably within a Corporate environment.
- Be IT literate with video conferencing tools (Teams, zoom etc), Microsoft Outlook and a telephone switchboard system.
- Have a good level of education and be able to communicate using English fluently, both written and orally
- Be confident, yet bring a level of diplomacy to develop productive professional relationships.
- Be highly motivated, demonstrate good judgment, and possess superior interpersonal skills.
- Be client and colleague-focused, a team player, and results-oriented with a professional but open, approachable, and positive interpersonal style.
The working hours will be circa 10/10.30am until 6/6.30pm Monday to Friday. A very competitive salary and benefits package is on offer, including 28 days holiday plus bank holidays, pension and private healthcare.
