Job summary

We are seeking customer focussed drivers / receptionists who are passionate about delivering the highest standard of patient care.

As a member of our Integrated Urgent Care Service team, you will be required to ensure our treatment centres and vehicles are maintained and prepared for the safe delivery of the services we provide.

Through effective communication with our control centre colleagues you will manage appointments within the treatment centre as well as safely transport our clinicians to patient home visits as required across the county.

Please Note: We have part time positions only at our three bases: Helston, Launceston and St. Austell and this position is to work predominantly in the evenings (weekdays and weekends), overnight and Bank Holidays.

Main duties of the job

The post-holder will work as part of the professional Core Services team to ensure an efficient and effective service to patients visiting the treatment centres as well as to those patients for whom home visits are required.

The post-holder is responsible for the smooth daily operation of the treatment centre and/or vehicles including undertaking daily checks of the centre/vehicle condition and preparation of the treatment centre for commencement of operations. The post holder will closely liaise with the call centre team for the allocation of duties.

The role will encompass late nights and weekend shifts, there are also weekday evening, overnight and weekend enhancements.

Job responsibilities

Key Duties and Responsibilities:

  • As part of the professional Core Services Team responsibility for the set-up TC in preparation for commencement of operations, including switching on and checking all communications equipment.
  • Close liaison and clear communication with Clinical Advisory Service (CAS) in order to manage and appropriately allocate workload and responsibilities in conjunction with the skills and expertise available.
  • To act as a Company ambassador at all times upholding the values and behaviours expected from all Kernow Health CIC colleagues.
  • On commencement of shift and at the end of shift (if appropriate) report to the Shift Manager/Service Delivery Manager who is responsible for day-to-day operations during the out-of-hours period.
  • Maintain patient confidentiality at all times and in line with company policy and GDPR guidelines.
  • Acknowledge call details on the computer system as soon as they arrive.
  • Assist in ensuring that Department of Health and Kernow Health standards are always adhered to within operational practicalities, including informing the Shift Manager/Service Delivery Manager of requirements for additional assistance.
  • At the commencement of each shift, read and note any new updates, i.e., emails, bulletins, operational and clinician notices, etc.
  • To communicate with patients awaiting visits, providing an update in accordance with Company procedures.
  • When leaving the TC unattended ensure premises are secure and all drug cupboards, etc are locked.
  • Ensure fully conversant with Manual Contingency procedures in the event of a systems failure.
  • Inputting patient call information on to the computer database at each appropriate stage of the call until completion.
  • Wear the issued Kernow Health Identification Badges when on duty at bases and/or when carrying out Kernow Health duties and wear appropriate uniform as per the company policy.
  • To ensure all checks and reports are accurately reported using the appropriate forms or via the appropriate digital reporting mechanisms.
  • Provide support to the CAS team as and when required, for example in the absence of a clinician on duty, challenging staffing levels or busy period.

Driving and Car Maintenance Responsibilities

  • Provide a high-quality visiting service being responsible for transporting clinicians to patients address safely and in line with all traffic regulations, whilst ensuring driver/passenger safety at all times.
  • Undertaking daily vehicle and equipment checks, ensuring cleanliness and tidiness of vehicle whether idle in operational use
  • Timely and accurate completion of all documentation, i.e., vehicle checks and damage documentation, reporting any vehicle or equipment defect.
  • Reporting mileages at start of shift.
  • Refuelling the vehicle accordingly using Company payment facility.
  • To ensure that the vehicle contains sufficient fuel for the on-coming shift, no less than tank.
  • Completion of Driver Log sheets for all patient visits undertaken.

Medication Responsibilities

  • Checking drug stocks in line with Cornwall-wide operational arrangements, including ensuring mobile stocks are maintained throughout a shift period by replenishing from the TC resource.
  • To ensure that Controlled Drug Protocols and Recording processes are adhered for both the TC and mobile resources, ensuring accurate handover systems.

Receptionist responsibilities

  • On commencement of duty, confirm your availability with the Control Centre and read and note any new updates via email, bulletins, operational and clinical notices, etc.
  • Communicate with the CAS if any clinician or staff members fail to arrive / delay for their tour of duty, within ten minutes of the due time.
  • Acknowledge calls on the computer system.
  • For patients attending the TC note their arrival time on the IT system.
  • Ensuring that emergency & urgent calls are dealt with by the Clinician asap and assist in ensuring that the Department of Health and Cornwall Health performance standards are always adhered to within operational practicalities, including informing the Shift Manager of requirements for additional assistance.
  • Ensure that prescription protocols are followed in line with Company Procedure
  • When handing over to the on-coming Receptionist/Driver ensure that outstanding calls are handed over and noted and any other appropriate issues handed over on completion of the shift.
  • Ensure clinicians on duty are dealing with the calls appropriately within the set time frames.
  • Ensure the TC is kept clean and tidy at all times adhering to organisational infection control measures in accordance with local and national guidelines and Standard Operating Procedures.
  • When leaving the reception area, ensure all confidential and identifiable information is out of sight and secure, ensuring that cupboards are locked.
  • Ensure the post-holder and other staff members are conversant with local fire regulations and Health & Safety responsibility.
  • On completion of operations, contact Control Centre informing them of closing down and confirming that all calls actioned and completed.
  • To check rota system to ensure all shifts are correct and notify the Rota Team where shifts are being disputed.
  • Ensure Shift Manager/Service Delivery Manager is informed of any shift over-runs both for yourself and your clinicians.
  • To monitor stock levels of stationery and re-order it through agreed processes.
  • To collate Drivers, log sheets/fuel receipts & prescription allocation sheets for collection by the Area Manager.
  • Provide relevant feedback to Line Manager in relation to operational and personnel issues.
  • Provide support to the CAS team as and when required, for example in the absence of a clinician on duty, challenging staffing levels or busy period.

General

  • Maintain personal development to meet the changing demands of the job, participate in an annual appraisal and appropriate training activities.
  • Ensure compliance with all Kernow Health CIC and Cornwall 111 IUCS statutory and mandatory training requirements, policies, and protocols.
  • Take appropriate responsibility to ensure that your objectives are aligned with the core team and organisational objectives.
