Job description
You will be working as part of the day surgery team in Gloucester Royal Hospital delivering exceptional care for the patients attending the unit. Day case surgery is becoming more common, it now makes up approximately 70% of all surgery performed. The patients will expect, and will receive, the highest standards of professional care by all members of the team who will be involved. The role is varied and no two days are the same.
You will be working in direct or semi direct contact with inpatients, relatives, site management and a multidisciplinary team of nurses, doctors and pharmacists amongst other professionals. You will be one of the first faces our patients and relatives will see when they first walk into our unit, and you will be dealing with queries face to face, on the phone and via email. For this reason, the post holder will have excellent communication and spelling skills alongside the ability to multi task and remain calm under pressure.
To provide Administrative, Clerical (A&C) and Reception support to Mayhill Unit is open Monday to Friday. You would be responsible for: maintaining clinical data for a range of defined systems; processing calls and enquiries from members of the public, relatives and other members of the Trust staff; for completing all necessary documentation relevant to the post and to request; for tracking and processing all patient notes as appropriate. This post has specified working hours to ensure cover is provided to support the work that is taking place within the area at that time, including clinics that can run into the early evening. The Mayhill Unit is open Monday to Friday. Ward clerks usually work 7.15 – 16.00 Monday to Friday however shift times will be discussed with the successful applicant with the aim to cover the busiest times in the morning.
All staff rotate between the areas.
Key duties:
- To ensure the smooth clerical administration in both departments,Reception areas and Ward
- To be able to communicate effectively with the multidisciplinary team, patients, clinical staff and the general public ensuring visitors are made to feel welcome with appropriate information given. Demonstrate excellent customer care skills. Respond to patient, staff and visitor request appropriately
- Receive queries, in person, by e-mail and on the telephone and manage appropriately
- To maintain records on both paper and IT systems. Undertaking clerical duties as required and to assist and support day surgery staff with data input onto electronic patient records as necessary. To be competent with all of the office equipment
- Obtain all notes for day case and inpatient surgery.
- Reporting faults to our estate teams
- Ongoing checks throughout the day for add-ons to surgery & clinic lists
- Filing of all patient documentation generated on the units ensuring notes are up to date and accurate when used by clinical staff
