Receptionist

Gándara Center provides residential, mental health, substance abuse and preventive services for children, adults and families across the Pioneer Valley and eastern parts of Massachusetts. Duties and Responsibilities
- Coverage for the front desk and Sort Mail or documents per staff department and send an email with a notification.
- Greeting and assisting Visitors/ Vendors.
- Ensure that staff and Visitors register when entering the building.
- Ability to forward sensitive information in a professional, timely manner
- Provide limited administrative support on an as needed basis for various departments within their organization
- Updates employee directory
- Answer phone, address calls to proper departments (staff) or take messages using the Follow up voice message call Log, complete referrals as needed and send them to the Intake Coordinator, etc.
- Sort Mail or documents per staff department and send an email with a notification.
- Send copies of Client files (assessment) for SSI or outside providers
- Verify (office supplies) and keep track of inventory. Complete purchase requisition as needed.
- Submit purchase requisition or check request for office supplies or programs as requested.
- Receive or contact vendors for services or repairs.
- Manage books for scheduling of conference and/ or training rooms. Assisting in scheduling meetings, reserving conference rooms, and updating the daily conference room schedules.
Minimum Requirements:
- High School graduate with a minimum 1-2 years relevant experience
- A minimum of two years of office administration experience required.
- Proficient in Microsoft software applications: Excel, Word, HR/Payroll software.
