Overall purpose of role
At EMG our clients mean everything to us, being the first face that welcomes them through the door is a major aspect within the role, notifying the fee earners/secretaries of their appointments arrival, answering the telephone system and supporting other departments with their administration tasks are all other important aspects of the role.
Responsibilities and duties
Duties:
- Greeting and welcoming visitors, notifying fee earners/secretaries of appointment arrival
- Managing switchboard and reception
- Supporting other departments with administration tasks
- Occasionally be available to cover reception in Durham when required for holidays and sickness absences
Key Tasks (not an exhaustive list):
- To support and assist the Client Experience Manager
- Scanning post onto case plans (the same day). Ensure systematic naming of scanned documents so as to make them easily searchable (naming system to be agreed with relevant team fee-earner).
- Distribute post.
- Maintaining tidiness and presentation of the Reception area, meeting rooms and toilets at all times, ensuring Reception is fully equipped with refreshments for visitors.
- Ensure the reception area has fresh flowers at all times and the television is programmed to a news channel.
- Meeting and greeting of clients
- Franking the daily post at the end of each day and taking this to the franked mail box.
- Assist with the administration of office banking. Including:
- Issuing petty cash internally
- General firm administration
- Logging incoming cheques
- Maintaining internal registers
- Storage of deeds and documents
- Ordering of stationery and office supplies
- Archiving client files
- Audio and copy typing for all teams as and when requested.
- Weekly fire alarm testing
- Monthly emergency lights testing
- Organise lunches for clients, meetings and business lunches.
- To support and assist all teams as far as possible.
- Adhere to dress policy
Knowledge, experience and skills required to do the job
Experience
- Experience in a customer facing role
- Good telephone skills
- Ability to communicate with colleagues and clients
