Receptionist – Maidstone, Kent; Overall:
To primarily provide a professional and efficient reception service which includes dealing with incoming calls plus all visitors to reception including staff, clients, and suppliers.
To also undertake administrative duties on behalf of the Partners/Directors/Managers plus assist with any other administrative duties within the secretarial team as required.
Full time: 37.5 hours per week.
Main Duties:
- Answer incoming telephone calls, pass them onto the relevant person or take a message and email the relevant colleague with details to call them back
- Greet visitors and inform the relevant staff their visitor has arrived
- Make refreshments for visitors
- Open all incoming post, date stamp. Scan in and allocate to staff on our document management system
- Inform staff member by email of all deliveries that arrive at reception
- Be able to use the franking machine and frank outgoing post daily. Keeping a log of what has been sent out via Signed for and Special Delivery.
- Book meeting rooms for internal staff and client meetings
- Prepare all meeting rooms in advance of meetings, with pads, pens and refreshments
- Clear meeting rooms at the end of meetings
- Book taxis for partners, managers (on account)
- Accounts filing to Companies House
- Sending out monthly reminders to Audit Managers about what accounts need to be filed that month
- Ensure the reception area remains tidy at all times as well as the kitchens
- Provide admin support to the secretarial team as and when required
- General other duties to include housekeeping such as collecting the milk from the local shop each morning (or when required). Empty the dishwasher in the morning and turn on again in the evening. Keeping an eye on supplies in the kitchen and restocking when needed.
- Office orders – Ordering stationery, kitchen and other office supplies as and when required. – Normally on a monthly basis.
- Monthly water temperature testing and pass on readings to Alison Earing
- Liaising the Tech Admin to sort Computer Aid collections
- Making sure we have adequate IT items in stock in the office
- Setting up new clients and jobs on our practice management system
- Booking hotels/trains through Clarity
- Add funds to franking machine
- Binding accounts/proposals/other
- Booking lunches etc. – Ordering in food for meetings and events
- Support Grace with buildings issues
- Booking couriers
- Archiving files as and when required (although not very often)
- Forwarding any post addressed to clients. Any junk post to be returned to sender.
