Job description
Our client is looking for a Receptionist on a contract basis, located in London.
ROLE
Ensuring the efficient running of reception for both employees and visitors, creating a safe and comfortable office environment.
RESPONSIBILITIES
Maintain a friendly but professional environment for both visitors and employees:
· Recording visitors details in the visitor's book
· Create and manage third party contractor visitors in and out of building
· Ensuring all new visitors to the building watch the safety induction and are comfortable with the content ensuring all within the building are safe and secure
· Issue security passes for access to approved areas of building
· Ensuring reception is kept the core focal point of the HO in dealing with all queries.
Managing all aspects of incoming and outgoing calls;
· Ensuring callers are connected courteously and promptly to the correct individual
· Efficient management of messages
· Create and manage taxi log system to assist in identifying staff/visitor requirements.
· Maintenance of organisation address book, ensuring details are updated regularly in line with new starts, leavers and organisational changes.
Dealing with all aspects of incoming and outgoing mail to include courier services;
· Ensuring franking machine is kept in funds at all times
· Create and manage booking log for local deliveries.
Efficient Management of Meeting Rooms;
· Monitoring meeting rooms to ensure rooms are being utilised efficiently ensuring others have full access if rooms are lying vacant
· Contacting staff when rooms are booked and not being utilised to allow rooms to be placed back on the booking system swiftly
· Arrange for all catering requirements ensuring all requests meet the criteria
· Support Management/Admin Assistants during holiday/illness periods where required.
· Support and participate with Emergency Response Exercises.
REQUIREMENTS
· Previous experience in a similar role (desirable)
· Educated to Standard Grade level or equivalent
· Strong IT skills and ability to demonstrate competence in Microsoft applications including Outlook, Word, PowerPoint and Excel
· Communicates clearly and concisely both orally and in written documents
· Proven ability to work on own initiative as well as part of a team
· Proven ability to maintain confidentiality
· Show initiative and ability to deal proactively with any situation that develops
· Exceptionally well organized with the ability to be flexible in prioritizing deliverables and planning accordingly.
