Job description
Full time role, located at Baxters Food Group HQ in Edinburgh. The successful candidate must be an excellent team player, with a high calibre of professionalism and communication as well as great organisational skills as they will have responsibility for a range of administrative duties.
General Responsibilities & Duties:
· To answer all incoming calls in a timely, professional and confident manner.
· To assist in finding the right information and directing customers in a professional manner.
· To take clear messages and deliver them in an efficient way if the member of staff is not available.
· To maintain an ongoing rapport with all clients and visitors.
· To support other team members with ad hoc duties, organising refreshments etc.
· To set up all meeting rooms with refreshments prior to meetings and clearing room thereafter.
· To carry out ad hoc administrative duties as required.
· To organise travel for some members of staff.
· To raise PO’s and Receipt PO’s.
· To assist with Time Management System.
· To maintain a high standard of personal appearance.
· Reception and meeting rooms to be kept to a high standard.
· Distributing morning mail.
Experience, Skills, Attributes Required:
· At least 1years previous reception experience
· To be the first line of communication - meeting and greeting customers and visitors in a professional and friendly manner at all times
· To deal with customer requirements in an efficient and courteous manner, ensuring customer requirements are fully understood and communicated in an effective manner to other members of staff to achieve a high standard of customer satisfaction.
· To ensure highest standards of personal appearance, housekeeping and availability of facilities in the reception area.
· Effective communicator - verbal and in writing
