Position Summary


BASIC FUNCTION: Answers all incoming calls to the Admissions Office. Greets and directs visitors to appropriate office on the floor. Schedules appointments for visitors to meet with Admissions counselors. Schedules tours of the School. Provides general information to visitors about the School and its programs.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Greets and directs all visitors to the floor.
  • Responds to phone inquiries about admissions. Fills out inquiry cards when appropriate. Transfers calls internally and externally. Retrieves voicemail messages as necessary.
  • Replies to inquiry emails or forwards to appropriate staff member, manages the staff email queue in Salesforce.
  • Stays current with regard to personnel and events on the floor.
  • Stays current with admissions related events hosted virtually and in person.
  • Schedules and/or manages appointments for prospective students to meet with counselors and schedules prospective student tours.
  • Responds to walk-in inquiries concerning admissions, school tours and general admissions information.
  • Produces mailing labels and prepares letters to prospective students as needed.
  • Participates in the training of staff members who cover the position during breaks and PTO.
  • Responsible for maintaining on and off-campus event reservations on spreadsheets, as well as forwarding caller to appropriate staff.
  • Performs other duties as assigned.

Qualifications

  • Bachelor of Fine Arts preferred.
  • Minimum 1 year, multi-line phone experience.
  • Must have strong communication skills, and ability to handle multiple communications concurrently.
  • Excellent interpersonal skills
