THE ROLE

We’re open to consider both full time and part time applicants for this role.

When you visit AllSaints, we want everyone to be welcomed with positive vibes and good energy. This translates not only to our stores but when people visit our offices in East London Studios. Our receptionist is essential to making this happen from the moment our guests arrive, ensuring that they are looked after, know where to go and who to meet.

You will partner with the mailroom coordinator to help manage our back of house mailroom, handling courier requests throughout the office, liaising with our entire office and design teams to help to get our garment samples where they need to be globally. You will also take responsibility for ensuring guests and third parties are kept safe whenever they are with us, briefing them on assembly points and fire evacuation protocols.

This role requires someone with a sensible approach to problem solving, putting our value ‘ the customer is the boss’ at the heart of everything you do. Brand ambassadorship is key, you'll be motivated to collaborate with our internal teams and gain exposure to new products, new team members and business leaders on a daily basis. No day is ever the same!

As the first point of contact for the office, no task is too challenging and you are always on hand to answer calls, emails, ad hoc requests, truly part of our OneTeam ethos.

WHAT WILL I BE DOING?

  • You will report into the office and events manager directly and support with any tasks and activities as required
  • Manage guest schedules within our company apartment and cleaning requirements to reflect this, liaising with cleaning teams regularly to coordinate
  • You will work closely with our mailroom coordinator daily and our office support assistant, providing courier support and post drop offs around the office daily where necessary
  • Process and arrange courier requests daily, including same day bike requests and provide daily support to the entire office team, including directorate levels.
  • Supporting our mailroom with the processing of incoming courier parcels and ensuring that these are logged in a timely manner and stored within the correct departments storage facilities within the mailroom. You will also be responsible for notifying team members to collect these daily, providing deliveries upstairs where possible
  • Helping to manage our company DHL account - sending clothing samples daily to global locations on behalf of the design, technical, production and photo studio teams, Ensuring that they arrive on time so that there is no delay to our clothing critical path
  • Looking after guests arriving at our reception area and providing them with a warm and professional welcome, whilst keeping the reception area clean and tidy
  • Managing guests via our visitor sign in & out system daily
  • Assisting with weekly stationary orders and responsible for keeping our office well stocked
WHAT SKILLS DO I NEED?
  • Friendly, warm and welcoming. Never shy of seniority and always happy to help
  • Communication skills are key, you know how to tailor your message to your audience, your role is help our teams get what they need in an effective and efficient way
  • A great work ethic, confident and professional telephone manner
  • Excellent time management skills, strong prioritisation skills needed and an awareness of how to get things done
  • Taking responsibility for getting things done whilst remembering we are OneTeam and putting the customer centric view at the forefront of what we deliver
  • Google Suite is integral to our way of working. Experience using this and/or Microsoft programs will help you truly thrive in this role
  • Previous experience in a mailroom environment would be beneficial but is not essential. We are always happy to help team members learn and develop in role
