RECEPTIONIST / OFFICE SUPPORT / £21,000 - £24,000 (Dependent on experience)
Monday to Friday 9am – 5pm / Central Bristol / 100% office based

The Job:
To process all incoming telephone calls with no undue delay and in a courteous and helpful manner. To receive and direct all visitors to the firm, especially clients, in a helpful, friendly and professional manner. To provide administrative support to the department as directed by a Director of the firm, with optimum efficiency. Please note: This role is supporting a small hybrid team so at times you will be on your own in the office (however, you work from a business centre).
Key responsibilities dependent on level of role:
- The effective processing of all incoming telephone calls to the office, including the logging of all calls and conveying of messages, checking the answer machine for messages and deliver to the appropriate person
- Dealing with all visitors to the reception area in a professional and friendly manner in keeping with the firm’s standards of care, offer refreshments
- Prepare correspondence and documents through audio-typing and word processing – no experience necessary as training will be given
- Administer filing which will include daily filing and opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the office manual.
- Open and close client files on SOS, including electronic ID verification.
- Prepare mail/email and enclosures for dispatch.
- Distribute the post in the morning and sort out the files relating to the post received and photocopying
- Prepare the conference room for meetings as necessary and ensure that it is cleared and tidy at the end of the meeting.
- Ensure the reception area is kept tidy and leaflets/business cards are replenished and kept up to date.
- Maintain and regularly update MS Outlook Contacts with full contact details for important contacts, e.g. other solicitors, agents, experts and clients.
- Make efficient use of IT facilities at your disposal including the use of the internet to access court forms / precedents etc.
- Ensure efficient management of the conveyancing department’s file saving directory.
- Administer the fax machine, photocopier and printer and report faults and liaise with maintenance as required.
- Ensure that there are adequate supplies of stationery, cleaning equipment, towels and general supplies and that these are stored/fitted appropriately.

- Be able to communicate with callers in a clear and positive manner.
- Pay strong attention to detail taking accurate attendance notes where appropriate.
- Be able to work quickly and efficiently to deadlines, multitask and prioritise when necessary but also use own initiative where appropriate.
- Be committed to the firm and its core values; and have good IT skills.
The Hours: Monday to Friday 9am – 5pm
The Benefits: 25 days leave plus BH’s and some other extras at Directors discretion – Usually Christmas Eve and possibly the three days between Christmas and New Year (but if the latter is not agreed they only ask that staff work one shift from 9-1pm during the Christmas/New Year break. Pension scheme upon completion of probationary period.
