JOB DESCRIPTION

TITLE: Receptionist

LOCATION: Nye Bevan House, Rochdale

HOURS: 25 to 37.5 per week

SALARY: £9.90 per hour

RESPONSIBLE TO: Practice Manager

OUR MISSION STATEMENT

Dr Ghafoor and Partners provide family GP services to the whole of the Rochdale Community, reaching out to everyone. Dr Ghafoor and Partners have a flexible group of local Doctors and Healthcare Professionals, who have looked after generations of local families.

JOB PURPOSE

To ensure that patients receive high quality, professional service. To contribute to the daily office routine by helping to cover the administrative and usual reception duties on a rotational basis. To be part of the full cover rota for the opening hours of the Surgery as part of a wider team.

More specifically, the role shall encompass various administrative tasks and the day to day running of the reception area.

CORE DUTIES AND RESPONSIBILITIES

This list of duties and responsibilities, which follows, represents the broad range of tasks, which may be required to be undertaken either routinely or periodically by the post holder.

Reception

  • Welcoming patients on arrival, checking in appointments
  • Directing patients to GPs and Nurses for appointments
  • Booking appointments
  • Dealing with enquiries
  • Handing out and taking requests for prescriptions
  • Chaperoning
  • Repeat prescriptions – ensure prescriptions are generated and processed
  • Accept cash or cheque payment from patients for private work
  • Recognise emergency situations, problems and difficulties and take prompt action

Telephone system

  • Dealing with requests for home visits
  • Dealing with enquiries
  • Booking appointments

Communication and IT

  • Use of clinical software systems, i.e. EMIS, Docman, NHS.net emails
  • Registration of new patients coming into the practice
  • Deduction of patients leaving the practice and return of paper records/GP2GP
  • Recording and coding data onto patient records
  • Assist with Quality and Outcome framework as part of the wider team
  • Recalls and review of patients through appointment system
  • Scanning documents
  • Attendance of practice meetings/participate in LTIs
  • Work in a team

General Office Duties

  • Photocopying
  • Opening post
  • Assist in opening and closing of the building
  • Filing

SAFEGUARDING

  • All staff are responsible for ensuring that they are familiar with and adhere to

Dr Ghafoor and Partners and the CCG’s Safeguarding Procedures and Guidelines in conjunctions with the Safeguarding Children’s and Adult Board Policies, Procedures and Guidelines.

PREVENTION OF INFECTION

  • All staff have a responsibility to comply with Dr Ghafoor and Partner's Policies for personal and patient safety and for the prevention of healthcare associated infections. This includes rigorous and consistent compliance with policies such as prevention measures as hand hygiene, the use of personal protective equipment and safe disposal of sharps.

INFORMATION GOVERNANCE

  • The post holder must comply with Company Policies and Procedures relating to

Information Governance. This will include, but not be limited to, Confidentiality

Policies, Record Management Protocols, The Information Security Policy, The Data

Protection Act, The Freedom of Information Act etc.

  • You must not, except as authorised or required by law or your duties, reveal any confidential information.
  • The post holder shall not, during or after working at Dr Ghafoor and Partners, disclose confidential information belonging to the company. You have a responsibility to protect and maintain confidentiality of all information. You have to contribute to ensuring that Data Protection and Information Governance requirements related to clinical audit are maintained.
  • This obligation will continue after the termination of this work unless and until any such information enters the public domain.

  • Adhere to the standards laid down in the NHS Code of conduct for Managers and at all times act in a manner that promotes the values of Dr Ghafoor and Partners.
  • Maintain awareness of local and national requirements and standards including

NQR’s, NICE guidelines, CQC directives etc.

  • Participate in the personal development review process.
  • Participate in appropriate Mandatory Training.
  • Participate in any internal investigations as required.
  • Ensure the preservation of Dr Ghafoor and Partners property and resources.
  • Report any adverse incidents as appropriate.
  • To work from other locations as requested and appropriate.
  • Undertake any other reasonable duties.
