About the Role...
The Receptionist acts as the first point of contact, answering incoming calls, welcoming visitors as well as completing a variety of administrative office duties.
Key Responsibilities
- Answer the phone within 3 rings, take and deliver messages to relevant recipients in a timely fashion.
- Log incoming calls in salesforce.
- Answer general questions about the company and provide address details, directions etc.
- Welcome onsite visitors and have them sign in using the online visitor’s app.
- Receive, sort and distribute mail, as well as post company letters and parcels, as required.
- Maintain printers, shredder, franking machine and other office equipment, i.e. order and replace paper and ink; arrange machine servicing, order spare waste toner cartridge; monitor headed paper stock and inform Finance Controller when stock runs low; order stationery etc.
- Perform other clerical duties such as printing, filing, photocopying and collating documents.
- Book hotels, taxi’s, flights and car hire using company suppliers and raising POs in CRM.
- Purchase and circulate birthday cards for signing.
- Manage the petty cash tin and give receipts to Finance Assistant to reconcile.
- Refill tea, coffee and sugar canisters, as well as biscuits and other snack containers daily and inform the Finance Controller when stocks run low.
- Tidy and maintain meeting rooms.
- Ad hoc duties related to this post (i.e. purchase milk if it runs out, provide hourly refreshments for Directors, collect and serve lunch for guests etc.).
- Record customer cheques received, deposit cheques at bank and email the Finance Controller details of cheques (*shared duty).
- Send hard copy Direct Debit documents to relevant bank (*shared duty).
*Some duties are marked as ‘shared’. The Receptionist will assist with these duties on the days when the Credit Controller/Administrator is not working.

Position Type/Expected Hours of Work: This is a full-time position, working 40 hours/week. Days and hours of work are Monday through Friday, 8:00a to 5:00p.
