The Main Reception desk function has recently moved under the management of the Quality Department at UHCW and are now part of the Patient Experience Team. We are looking to recruit a new team to support patients who attend our Main Reception with way finding and enquiries.

The role provides an efficient and responsive service to meet the needs of patients and visitors attending the Main Reception. The Main Reception desk welcomes, receives and greets all visitors to the area, providing the first point of contact for all service users, resolving routine enquiries and complaints professionally and in accordance with Departmental and Trust standards and procedures, referring other queries to relevant colleagues where appropriate.

The role will require a blended approach of being seated at the Main Reception desk as well as working agile and periods of standing.

Service working hours: 7 days a week from 7am -8pm

1. Signpost patients to the Department they are due to attend.

2. Responsible for dealing with all calls received from the public in a professional manner, ensuring telephone standards are met.

3. Ensure all members of the public, patients and relatives are provided with the relevant information, documentation and advised as to the appropriate contact for further assistance.

Responsible for implementing, updating and maintaining both manual and electronic systems and databases according to Trust policies and procedures.

Be responsible for dealing with all calls received from our customers in a professional manner, ensuring telephone standards are met.

Ensure all customers are furnished with the relevant information documentation and advised as to the appropriate contact for further assistance.

Be responsible for ensuring all communications associated with the appointment process e.g. with Clinicians, patients, GP’s and relatives etc. are undertaken in an expeditious and appropriate manner.

Assist with training new team members in operational Departmental and Trust Procedures.

Undertake filing and photocopying as necessary ensuring all documents are accurately and appropriately achieved.

Prioritising daily tasks to achieve set timescales.

Collate, input and monitor department documentation and information to assist with the production of monthly reports.

Provide appropriate cover in the absence of other members of the team.

Other related tasks associated with the role and running of the reception area.
