We are recruiting a Mail Room Operative to join the team located in London. The successful candidate will be responsible for providing a service for all mail handling (normal, registered, courier, international shipment), as well as being accountable for receiving, signing, distribution and shipping of all incoming
and outgoing mail and parcels.
Key Tasks:
- Primary focus on delivery of Mail Services to include but not limited to Distribution/Shipping and Receiving in accordance with KPI & Output measurements
- Dealing with Addison Lee & UPS directly by arranging monthly catch-up meeting, raising PO’s and support with invoicing
- Record incoming courier / parcel / recorded and registered mail, retaining accurate records to facilitate tracking
- Handle all direct customer Jira and email enquiries for the Mail Room
- Ensure departmental and reps lists / pigeon holes are updated and cleared when required.
- Maintain paper stock levels and replenish supplies as necessary including printing machines on all floors
- Ensure all mail is collected, sorted, and distributed correctly
- Perform investigations into lost post / sort and process unidentified mail, parcels
- Oversee the maintenance of the Mail Room equipment e.g. Franking Machines etc
- Ensure accurate and up to date documentation of Mail Room procedures in place
- Handle all incoming mail, parcels by maintaining accurate records to facilitate tracking by using Envoy system
- Understand adhere to emergency procedures associated with mail rooms, including suspect package procedures
- Understand & adhere to emergency procedures associated with mail room, including suspect package procedures
- Report all accidents, occupational illnesses, and emergencies to your manager and by using Harbour portal & follow incident handling process
- Undertake and maintain required CBRE training
- Follow all Health & Safety and Environmental requirements that are defined on work instructions or communicated in training
Person Specification:
- Previous experience within a postal environment would be beneficial
- Presentable & sound customer service skills
- Technically savvy, knowledgeable with Mac, Mail, Calendar, Presentation sheet
- Knowledge of associated reprographics equipment
- Basic understanding of reprographic activities i.e. binding, printing & finishing
