This is an exciting opportunity to become a Reception based Dental Practice Support Manager at our dental practice in Whitehawk, Brighton.

This is a full-time position working Monday to Friday with Saturdays as required for cover purposes or to induct/train new staff. You will adopt a leadership role in the practice undertaking all Dental Receptionist duties (listed below) and assisting the Practice Manager in effective and efficient management of the practice.

This is an exciting opportunity for you to join the company as a Practice Support Manager to the Practice Manager. This is a full-time position Monday to Friday and the occasional Saturday to induct new weekend staff with a day off during the week.

Your main duties will include:

  • Assisting the Practice Manager with their day-to-day duties
  • Temporarily taking on the Practice Manager role when the PM is away from the practice
  • Run reception
  • Supporting the clinical team and ensuring diaries are full
  • Assisting with rotas and timesheets
  • Dealing with staff issues including grievances and disciplinaries
  • Training and inductions for new starters
  • Helping with recruitment for the practice
  • Liaise with Practice Manager to ensure site is fully compliant
  • Act in accordance with practice rules and code of conduct
  • Attend Practice Meetings
  • To ensure audits, logs and records are kept up to date for the practice
  • To be ensure that all staff are complying with current legislation such as Fire, Health & Safety, CQC regulations, RIDDOR and COSHH
  • To enforce standard operating procedures for the practice
  • Address patient complaints
  • If a qualified dental nurse, cover dental nursing duties in the event of absence/annual leave.

Reception Responsibilities:

  • Welcome all patients/visitors arriving at the practice with a smile. Continue to communicate with them throughout their visit, anticipating any anxieties and answering any questions by always taking time to listen and help, noting any feedback. The patient should at all times have full confidence in the practice and leave reception with the same eye contact and smile they were greeted with.
  • As the face of South Cliff, you must be smart in appearance.
  • Ensure that the reception desk is organised in an efficient manner and patients are looked after during their visit (assisting the non ambulant when necessary).
  • Answer the telephone in a friendly, helpful and courteous manner at all times.
  • Notify the GDP of patient’s arrival and any additional requirements, dental or otherwise.
  • Keep patients informed of any delays.
  • Ensure computer/written records are completed, accurately maintained and securely stored.
  • Collect and record patient payments, encouraging prompt payment.
  • Assist and advise with HC1 forms, patients NHS and private scheme claims forms.
  • Liaise with dental laboratories, supply companies, and other organisations as required.
  • Sell sundry products at patient’s request, restock shelves and ensure that stock levels are adequate.
  • Help keep the appearance of the practice in good order, tidy and litter free, ensuring all access routes are clear (of toys/prams etc) and safe.
  • Arrange appointments in person, by email or by telephone or letter.
  • Ensure that the appointment system is efficient and accurate.

Other Areas of Responsibility:

  • Undergo training as required to develop your skills and abilities, attend refreshers, and update training for emergencies and CPR.
  • Compliance with Information Governance, Clinical Governance and Infection Control (HTM 01-05) - training can be given
  • Comply with current legislation such as fire, Health & Safety, CQC regulations, RIDDOR and COSHH - training can be given
  • Provide basic first aid.
  • Responsible for training new receptionists.
  • Responsible for setting clinics/blocks in diaries alongside Practice Manager
  • Responsible for maintaining outstanding accounts
  • Line manager of weekend reception staff
  • Attend and participate in practice and reception meetings
  • Ensure computer back-up system is carried out.
  • To carry out audits when requested to.
  • Monitoring and ordering of essential items such as light bulbs, stationary items and housekeeping items.
  • Logging laboratory work out and back in.
  • Monitoring, updating and printing of patient information leaflets.
  • Be able to work on own initiative.
  • To always appear confident and happy.
  • Adhere to practice policies and protocols at all times.
  • Responsible for keeping waste to a minimum in your area of responsibility.
  • Be on call at weekends if the Practice Manager is unavailable
