We are currently looking to recruit a Reception Administrator in our busy office in Bury St Edmunds.
Our Reception is the hub of the Office and is the first impression that our clients will have of our firm. Therefore, our Reception Administrator is a very important part of the Churchgates team.
The Role
- Opening up Reception. Dealing with all visitors to the office. Arranging teas/coffees as required.
- Dealing with all incoming telephone calls and coordinating the telephony system.
- Dealing with all incoming and outgoing post. Arranging for all incoming post to be listed, scanned and distributed. Franking all outgoing post, dealing with recorded/special delivery/courier requirements as necessary.
- Banking – cheques and BACs receipts. Dealing with as appropriate.
- Take client payments via Barclaycard.
- Arranging the purchase of supplies of tea, coffee, biscuits / stationery / flowers.
- Taking responsibility for the booking system for the meeting rooms and office car park spaces.
- Ensuring that rooms are cleared and prepared ready for meetings.
- Ensuring Reception administrative tasks are dealt with within required timeframes, using apps within the Microsoft suite – Word, Excel, Forms, Sharepoint, Lists.
- Coordinate fire regulation procedures, including testing fire alarms on a weekly basis, ensuring sufficient fire wardens across the building.
- Undertake client onboarding and farewell procedures, including setting up on database and completing Anti Money Laundering checks, sending out engagement letters.
- Setting up desks for new starters; clear and clean desks and equip with stationery.
- Dealing with maintenance calls as required.
- Support the debtor process, coordinating statements, liaising with staff and contacting clients as required.
- Occasional typing of letters – both copy and audio typing.
- Providing cover for the other members of the Administration team, which could include typing, filing, etc.
- Assistance with database management.
About you
- Ideally, you will have relevant experience of working on a busy Reception.
- Ideally, you will have had experience working as an administrator.
- Excellent computer skills, particularly using Microsoft Office Word, Excel and Outlook.
