DUTIES AND RESPONSIBILITIES Radiology operates a 7 day service You will be required to work within the booking clerk team which will require an understanding of a range of routine and non-routine work procedures and practices requiring a level of theoretical knowledge acquired through formal training or equivalent experience. You will need to make appointments by telephone, in writing or in person to both in- patient and out-patient (including general practice) services. This needs to be done within the set timescales to enable a speedier patient journey and you will be expected to use your initiative in difficult circumstances. This may require you to provide and receive routine information orally, in writing or electronicallywhere there arebarriers to understanding.
You will need to liaise by telephone or face to face between referrers, wards, departments or patients regarding allocation of appointment times, preparation for patients, location of previous images and any other relevant information. In addition, information should be collated by telephone from wards regarding in-patients in order to identify mobility of patients and record how the patients are to be transported to the Radiology Department prior to their procedures being performed. You will liaise with the admissions department to ensure that patients are admitted prior to their procedure where applicable. You will be responsible for organising appointments for patients where there is a need to make short term adjustments to fit in with clinical requirements.
This need to be done in close liaison with Consultant and Radiography staff. You will deal with enquiries regarding the arrangement or alteration of appointments as required. This will include telephone enquiries from patients and staff ensuring prompt answering of calls in an efficient, helpful and professional manner. You will need to be flexible, adaptable and able to deal with unpredictable work patterns.
You will manage the clinic templates in line with agreed and documented individual consultants specifications and you will need to liaise with consultants and senior staff in the department. For this you will need to input patient details in accordance with consultant rotas. You will enter request cards for procedures onto the radiology computer system as required. This involves inputting data, registration of request cards and ensuring that attendance details are correct.
You will maintain a filing system of request cards after booking of appointment prior to the patients procedure being performed. You will be required to provide waiting list information on a weekly basis to the Booking Office Manager. This will involve collation and evaluation of information to ascertain waiting times and numbers of requests outstanding. You will need to deal with complex, sensitive or contentious requests for radiological examinations and you will need to handle these in line with Trust policy.
You may also need to deal with aggressive patients and you will be required to use your interpersonal and communication skills to diffuse any situation. There may be occasional exposure to highly emotional circumstances involving the terminally ill. You will be required to deal with patient complaints as per Trust procedures. You will be required to organise patient lists at short notice in order to maintain short waiting times.
This will require you to contact patients by telephone and offer verbal advice about the examination where needed. You will need to track other reports or images if the Consultant requires these prior to booking an appointment. You will need to assist with projects, audits and improvement process within the department General office duties as designated by the Booking Office Manager. A staff appraisal system is in operation and staff are appraised on an annual basis All employees have a duty to attend all mandatory training sessions as required by the Trust.
You will be required to wear Trust supplied uniform. You will assist in the development of Band 2 receptionists/clerical officers and cover reception roles as and when required. You will abide by the Trust Sickness policy. You will rotate through the booking clerks roles when required to by the managers.
