An opportunity has arisen for Executive Assistant in a rapidly expanding and exciting work environment. Purpose of the role is to provide confidential administrative support to the Senior Leadership including: report creation and maintenance, project support, research tasks, preparation of business travel and seminar arrangements, and meeting scheduling, agenda development, expense reconciliation, and minute taking.
Job role:
- Manage and organise a high-volume professional calendar across multiple time zones and priorities, schedule and coordinate appointments and travel as necessary, including the facilitation of hospitality and catering as required.
- Arrange complex and detailed international travel including flights, hotels, visas, ground transport, as well as producing comprehensive and detailed itineraries considering cost and integrity.
- Proactively send reminders to the CTO and relevant stakeholders of reporting deadlines and support the creation of reports and presentations as required
- Organise and prepare for meetings, including gathering documents and attending to logistics of meeting.
- Prioritise emails and respond when necessary.
- Develop and cultivate collaborative relationships with peers, members of the Executive and external partners.
- Develop effective processes to ensure efficient delivery of information.
- Support communication with key stakeholders as required.
- Screen and direct phone calls and distribute correspondence accordingly.
- Other responsibilities and projects as may be required.
You’ll have:
- Extensive and progressively responsible and diversified administrative experience, including support to Executive Team members.
- The ability to work to a high standard with little direction, often under pressure with the ability to be resourceful and multi-task.
- A proactive approach to work, with a high level of attention to detail and enjoy working to deadlines.
- The ability to work collaboratively, with no task too big or small and build relationships across the whole business.
- Strong computer skills and tech savvy – deep understanding of Excel, Word, PowerPoint and Internet tools.
- Ability to travel and be available outside of core office hours when required.
- Outstanding time management skills are essential.
- Excellent verbal and written communications skills.
- Resourceful, innovative and proactive with the ability to think independently and make critical decisions under pressure.
- Discretion and confidentiality is essential.
