We are a boutique holiday letting company renovating and furnishing holiday properties in Southern England. We are looking for a highly organised, very flexible, ‘can do’ property administrator with excellent communication skills. You need to be able to work on your own, think out of the box, cope with a busy workload and have an eye for detail. You would be part of an entrepreneurial team where going the extra mile is the norm, this job is fun and interesting but not for the feint hearted. Provable admin skills are essential. Own transport required as on occasions you may need to travel to one of our sites.

Quince Investments started 3 years ago and has developed 6 properties so far. We are aiming for the very high end market and our properties, and our approach to our guests, follows this. We expect to purchase further properties across Southern England in the next 18 months. You would be part of this growth working alongside Sarah Wood, the founder, to prepare the properties and develop our brand.

The job will range from sourcing cleaners and handymen to purchasing property supplies, finding the best utility deals to sourcing individual one-off items. You will prepare look books, photo galleries, help the website team with upgrades, order anything from guest hamper gifts to bespoke furniture. At busy times, you will be communicating with guests, arranging plumbers for blocked drains, helping with information for planning applications and ensuring all purchases are registered on our accounts system .. the list is varied and endless.

You will be based from home, (likely London or better still Kent where the rest of the team are based) but will feel like you are in an office as the team is small and tight and comms between everyone is constant and ongoing. Daily use of Excel, PowerPoint, Photoshop and Microsoft teams a must.

We are looking for someone ideally 5 half days a week, but would consider other timings for the right person.

The detail on your responsibilities:

· Ensuring that all relevant certification of each holiday house is kept up to date

· Handling the purchasing of all supplies for both hampers and holiday homes and keeping an inventory of what is in stock to ensure we never run out on site.

· Ensuring the purchasing is registered in the accounts software and working closely with Accountant to ensure VAT invoices are available for each purchase.

· Managing the fixtures and fitting stock in our storage container, arranging couriers between properties and sale of any unwanted stock

· Scheduling and managing annual service contracts for all appliances where necessary including renegotiating utility and bin collection contracts

· Close comms with the local property managers to ensure an efficient seamless experience for our guests

· Purchasing one off items either to replace broken items or for refurbishments

· Set up and manage trade accounts

· Dealing with breakdowns/blockages/repairs to the properties. This will involve coordinating between contractors and on site managers in a timely manner to avoid disruption to our guests. This can be stressful as it is often time pressured.

· Sourcing items required for the holiday houses

· General assistance with website and marketing where needed

· Preparing look books, guest information, local information and regularly updating all

· Sourcing new suppliers/ suggesting improvements to stock and inventory where relevant and generally thinking out of the box on how to improve our guest experience

· Updating information on the cloud at all times.

· Cover for holiday dealing with customer enquiries and booking

· On call every third weekend on a rota managing enquiries and issues where local managers are not on site

In such a small company it is impossible for us to produce a failsafe list of jobs covered. We work in a tight team and everyone is expected to pull their weight. Often issues will involve more than one member of the team and this may drift out of agreed hours in emergency situations.

Job Type: Part-time
Part-time hours: 20-25 per week

Salary: £17,000.00-£20,000.00 per year
