Working Location

LS Events office is London based, however we offer hybrid working solutions, with the understanding that attending in person meetings is a key requirement for this role. You will also be required to be onsite for the build, live and / or break periods of the projects you are assigned to.

  • About the role

    We are currently looking for a Partnerships Assistant to join LS Events as a part of our team working on some of the most prestigious events in the UK and Internationally.

    This is a great opportunity to be a part of our highly experienced team in tendering for, developing and delivering top quality event production management across a wide variety of sectors, from music and live entertainment to sporting and public events.

    We are looking for someone to assist the Senior Partnerships Projects Manager and wider team in delivering partnership activations and installations at some of our most exciting events.

    Working across a varied portfolio of brand partners the Partnerships Assistant will liaise with clients and their associated agencies at all levels. This is an exciting role for candidates looking to gain knowledge and career advancement in Partnership delivery, event production advancing, creative activation builds as well as client management.

  • Personal Specification

    Applicants should:

    • Have excellent communication skills, both written and verbal, in the English language.

    • Have experience working within the live events, festival or outdoor events industry.

    • Have a can-do attitude, with a willingness to get stuck in.

    • Be able to communicate with stakeholders and team members of varying seniority levels with confidence and professionalism.

    • Be a team player.

    • Be able to work under their own initiative, prioritising work as required.

    • Willing to work prolonged periods of time on-site at assigned events throughout the year.

    • Be savvy to new and innovative technologies, systems and ways of working to help improve our offering as a company.

    • Have proficient IT skills, ideally with experience with or willingness to learn the Google Workspace Suite (including Google Sheets, Google Docs and Google Presentations) and Airtable.

Job Description

  • Job Summary

    Your primary role will be to assist the Senior Partnerships Production Manager and wider team in delivering partnership activations across our portfolio of events within the music, live entertainment, sporting and public sectors.

    You will be responsible for ensuring that meetings are minuted, actions logged and disseminated to relevant parties, including updating the project’s action tracker.

    You will ensure that all documentation complies with the company’s strict document control standards, formatting and referencing guidelines. All work will be completed to an exceptionally high standard with notable attention to detail.

    You will have and maintain an oversight of all project work in order to support the management team in driving work streams forward, encouraging best practice throughout.

    You will be integrated as part of the on-site delivery team, following plans from conception through to completion, maintaining oversight of all work in order to support the Management team in driving work streams forward, encouraging best practice throughout.

  • Core Responsibilities

    • Working closely with Project Management to help support the planning and delivery of assigned projects, ensuring that both project and organisational objectives are met and, where possible, exceeded.

    • Attend and participate in project meetings, having an active contribution to the agenda, proposing ideas and solutions where appropriate.

    • Attend meetings with clients, brands and brand agencies.

    • Creating meeting agendas, note taking and circulating minutes with all relevant departments.

    • Maintain project documentation; creating, formatting, updating and issuing relevant documents.

    • Deliver regular progress updates to the Senior Partnerships Manager on tasks you are responsible for.

    • Handling and responding to correspondence via email and phone.

    • Confident liaising externally with clients, brand partners and agencies, as well as internally with project departments and contractors.

    • Assisting with purchase orders and invoicing.

    • Updating and managing schedules for brand partners and agencies.

    • Setting up and managing relevant online accounts and file access for brand partners and agencies.

    • On-site assistance managing allocated partners.

    • Assisting the Partnerships team with production and operational queries relating to allocated sponsors from:

      • Partners & Partner Agencies

      • Site Team

      • AEG Partnerships team

    • Managing vehicle, deliveries and staff accreditation via Akkred.

    • Managing crew catering queries.

    • Attending daily site meetings when on-site.

    • Assisting with delivery of site orders, ensuring these are delivered on time.

    • Assisting with deployment of security requirements.

    • Assisting with delivery of cleaning requirements.

    • Monitoring sponsor production schedules, ensuring that these align with the wider site production schedule.

    • Be active in ensuring the project hits its key deliverables, on time, within budget and are achieved to a high standard.

    • Be instrumental in the delivery of all projects during the build, break and live phases of the project, pitching in where necessary even when it deviates from your typical responsibilities.

    • Ensuring that clients’ needs are met as the project progresses.

    • Develop and maintain project databases that track overall progress and the accomplishment of specific milestones.

    • Ensuring that all policies, procedures and SOPs are being followed, leading by example.

    • Encouraging best practices in all aspects of project planning and delivery.

    • Be savvy to new and innovative technologies, systems and ways of working to help improve our offering as a company.

    • Any other duties commensurate with the post.

  • Company Responsibilities
