Job description
Responsible for the day to day operations and performance of secretarial and administrative duties for the Operations Service Center which includes Engineering, Environmental and Biomedical Engineering Department functions such as; answering phones and e-mails to generate and process work orders to the applicable employee. Provide administrative support to Engineering department management, manage database of preventive and corrective maintenance work order program, posts department schedules, PO’s, invoices, compliance documentation and filing.
EDUCATION/CERTIFICATION:
- High School Diploma or GED equivalent, an Associates Degree or equivalent Secretarial Training is desired.
EXPERIENCE:
- Must have at least four (4) years of increasingly progressive responsible secretarial experience including working for Department Directors.
- Position also requires proficiency in building maintenance programs for energy management and work order processing.
- Knowledge and understanding of mechanical, electrical and plumbing building systems and codes is desirable.
COMPETENCIES:
- Strong personal computer proficiency is required and demonstrated knowledge windows based software programs such as Microsoft Word, Outlook and Excel.
- Must have excellent customer service skills as well as strong verbal and written communication skills using the English language.
- Must be able to function in a fast paced environment that requires multitasking and a high degree of customer interaction both on the phone and in person.
- Must possess and maintain a valid driver’s license (appropriate as outlined in the Eastern Connecticut Health Network’s Environment of Care Safety Policies and Procedures #110) maintain a driving record free of any violations and pass a safe driving educational program upon hire and annually thereafter.
ESSENTIAL DUTIES and RESPONSIBILITIES:

Job-Specific Competency
- Answers phones and emails, generates work orders for staff. Forwards work orders to appropriate trades person or employee based on priority.
- Files JCAHO, NFPA, DPH and CMS documentation of compliance. Prepares reports as necessary.
- Keeps work areas, office and storage neat clean and organized. Obeys environmental requirements for disposal and handling of hazardous and universal wastes and products.
- Attends mandatory training and in-services, organizes minutes. Posts information for department staff as necessary.
- Prints and forwards monthly Preventive Maintenance work orders per priority and risk assessed order of importance. Maintains inventory lists of equipment and systems.
- Completes and files paper work including; Daily work summary, shutdown notices, utility system failure occurrences, rounds sheets, time off requests.
- Completes check requests and PO’s accurately as assigned
- Maintains inventory of office supplies for department. Keeps the proper amount of supplies on hand.
- Prepare Department of Environmental documentation and filing for permits.
- Complies with the department and hospital safety policies and procedures and contributes to the overall safe operation of the hospital facility. Complies with safety policies including; Fire plan, code response, MSDS, Utility Management Plans, LOTO, conf space, fall protection,
- Supports on call and emergency response as required. Has work overtime as necessary
- Works with Department Directors/Managers to address, schedule, complete, provide status on projects, repairs and PM’s to keep the respective departments informed of the activity.
- Competent in trade specific knowledge, responsibility and duties. Understands building systems and has a familiarity of building and life safety codes and standards.
- Provides ongoing support for staff and management with work order input, updates and completion in AIMS.
