Plunge is a creative, busy and diverse company.
We have a multitude of different projects on the go at any one time. Our teams work across several buildings which means there can be lots of running between the different workspaces, particularly when it's really busy, but this balances with all the working at our desks when there is data that needs crunching or a deadline is fast approaching and there's lots of logistics to sort out.
This role is a lynchpin within the company. The person fulfilling this position will work across the company and be in touch with clients, suppliers and our teams of makers. They need to be good communicators, be very organised, a lover of to-do lists and ticking things off them. They need to be friendly and level headed. They need to have an eye for detail and read information thoroughly.
Experience Required:
- A minimum of 3 years experience in a similar office role
- Intermediate to advanced experience of Word & Excel (FYI: Plunge uses Libre Office for these)
- Basic working knowledge of software such as Adobe Photoshop or Affinity Photo
- Basic knowledge of posting to social media, blogging and posting images on a website a bonus
General job description - Typical responsibilities include:
- Help ensure the smooth and efficient running of Plunge’s projects (alongside the project managers) and the company's offices and workshops.
- Answering phone calls and managing correspondence (e-mail, letters, packages etc.) that come into the company
- Support the budgeting and book-keeping procedures of Plunge, including the processing of timesheets and invoices
- Tracking and maintaining stocks of office and workshop supplies
- Researching and placing orders for materials and workshop stock and supplies
- Carrying out other such general administrative tasks that may be required
- Attending production meetings and other meetings when necessary as well as minuting meetings if needed.
- Creating and maintaining good working relationships with clients and suppliers
- Assisting the Management Team, Project Managers and Designers with the dispatch and delivery logistics required for projects
- Assisting the production team to organise the various freelancers and crew required to work on projects and ensure they are correctly inducted and are working according to Plunge Creations standards
- Assisting with marketing, such as social media and website
- Assisting with inputting data into and maintaining company software and applications
- Assisting with the rollout and implementation of new software and applications
- Working with the Management Team to implement and maintain Health & Safety policies, procedures and systems within the company
- To work with the Management Team to ensure the efficient running of the workshop and office
- To work in accordance with health and safety guidance, and inform the Management Team if you consider anything within the workshop and office as unsafe
- Providing holiday and sickness cover for the office team.
- Managing and processing hire and product orders for Plunge Products. Dealing with the logistic of the deliveries and return. Updating the website and social media for Plunge Products.
- To undertake any other reasonable duties as required by your line manager or senior management
- To undertake training as required
