DESCRIPTION:
Project Coordinators play a crucial role in RMI’s Operations department, supporting the mobilisation of personnel to both onshore and offshore austere locations globally. Working closely with Senior Project Coordinators and Project Managers, you will ensure that RMI continues to support our clients to deliver their projects in the most complex environments.
As a Project Coordinator, you will be a key point of contact for personnel in the field, along with client stakeholders.
Working at individual and department level, you will own the delivery phase of projects, fully supported by senior members of the Operations team. You will have the autonomy to make decisions at an operational level as well as steer the direction of the services offered, as you utilise your skills and expertise to navigate new and sometimes challenging opportunities.
You will work with departments across the business to compile and analyse project level data, providing key insights into field operations to senior leaders.
This role will suit individuals with a natural flair for problem solving, and the ability to work both autonomously and as part of a team. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Assist Senior Project Coordinators and Project Managers in the running of client accounts
- Liaise with the RMI recruitment team for new and ongoing recruitment campaigns.
- Conduct inductions for new field personnel and issue associated project critical paperwork and processes
- Liaise with RMI administration team to ensure personnel files are maintained with current certificates and qualifications, working with field providers to update as necessary
- Make travel arrangements for onshore and offshore overseas mobilisations and demobilisations for field personnel to include booking flights, arranging hotels, etc.
- Process visa applications where necessary, liaising with third parties and government agencies
- Act as point of contact for field personnel and client stakeholders within assigned projects
- Review and approve field personnel timesheets and expenses tracking project costs and ensuring payment process is adhered with the RMI finance team
- Carry out any project specific tasks which may arise
- Communicate any potential or actual issues, problems, or additional project information which could have an adverse impact to your Senior Project Coordinators and Project Managers advising on recommended solutions.
- Work collaboratively with colleagues working on account project portfolios to deliver consistent quality of service
Own staffing requirements, interacting directly with the RMI recruitment team to ensure accurate and timely staffing solutions are being provided across your assigned projects - Build and maintain monthly reports to clients as required, organising and attending regular review meetings as required
- Conduct field personnel management processes including feedback calls, day to day queries and escalations to senior colleagues or effected departments
- Produce internal reports as directed by Senior Project Coordinators and Project Managers
- General administrative duties as required
- Conduct duty Emergency 7 day ‘on call’ coverage for evenings and weekend, 1 week every 3 months (shared responsibility across all UK Operations)
Any other duty as required by the line manager commensurate with the post

SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.
QUALIFICATIONS

EDUCATION and EXPERIENCE
- Preferred 2+ years’ experience in a similar role in the oil and gas, renewables, offshore, recruitment , security risk management or corporate travel sectors
- Preferred Experience in logistics and personnel coordination
- Preferred degree qualified
COMPUTER SKILLS
Proficiency in Microsoft Office applications, general computer & technology literacy
