Due to incredible growth, we are now looking for our next superstar, an IT Project Coordinator to joinour team, reporting to the Head of Professional Services, the Project Co-ordinator is primarily responsible for proactively managing the administration and coordination of sales orders including the sale of engineering time. The Project Coordinators will assist the Project Managers to ensure that the projects are delivered on time, on budget and to agreed quality standards. Scheduling of the technical delivery team to ensure that they are efficiently and effectively utilised, maximising on their availability to deliver. Maintaining a professional and confident approach to deliver exceptional customer service and maintaining regular communication with customers, often in a high-pressure environment.

What youll be doing
- Internal customer liaison: Regular customer interaction to ensure all technical needs have been met and escalate technical issues / challenges to the senior engineers, helpdesk, or Professional Services Manager where applicable.
- Technical Delivery Team Scheduling: Scheduling of technical personnel to ensure they are effectively utilised and maximising availability. Maintaining a regular dialog with individuals to ensure knowledge of their whereabouts and job activities to ensure accurate logging in the diary application.
- Approved Sales Order received. Upon receiving Sales Order submission, conduct final review to ensure completeness including billing schedule and wording, approve and set up on Sage where relevant including Budgets & Revenues and organising Oder Review Meetings.
- Order Review Meeting: Arrange and attend order review meetings to ensure all impacted parties are made aware and all concerns and considerations are documented and issued. ORM is needed with all jobs above £XXk or requires technical resource. Organise and attend the ORM meeting and distribute meeting notes. Project Owners to run ORM.
- Project Deliverables: Liaise with project technical lead to create project plan and discuss implementation
- Small Orders Delivery: Management & coordination of small orders ensuring equipment & technical resource are utilised efficiently to deliver solution to customer requirements and satisfaction
- Purchase Orders: Place all purchase orders relating to projects (suppliers & subcontractors), ensuring delivery dates, time and place are accurate and details entered correctly to Sage. Communicate to Project Owners (PMs or Technical Leads) following receipt or delivery of goods and/or equipment.
- Satisfaction survey: In order to review the companys performance and customer perception, ensure satisfaction surveys are completed and returned in a timely manner. On Larger project working with Project Owner to ensure completion.
- Project completion: On project/job completion ensure paper files and sage records are complete. This will include sign off document, satisfaction survey, all sales and purchasing invoicing.
- Projects Administration:Ensure completion of Engineering job sheets for all Sales Orders and sign off for Projects. Compile monthly overtime for finance in readiness for payroll.

What youll need
- At least 1 years experience working for an IT/Data/Telecommunications reseller, vendor or similar, in an administrative or project coordination function.
- Willing to train and learn (PRINCE 2 for example)
- Excellent interpersonal and communication skills, both written and verbal.You should be confident to communicate with at every level staff within small and large enterprises.
- A basic level of understanding of Data Networking, UC and Contact Centre Technologies.
- Exceptional time management and organisational skills.
