Our Opportunity:
Day-to-day support with project administration, financial & operational reporting, and the daily upkeep of the office.
Operational support
- Project Management - manage administrative processes to help drive and achieve effective and efficient project management throughout the organization.
- Provide project analytics – project wins, sector and market analysis
- Own the resource management process, analyse time sheets & staff utilisation.
- Co-ordinate submission processes and maintain company bids and tenders
- Ongoing organisation, development of systems and internal meetings to help ensure the efficiency and effectiveness of the bids and tenders process.
- Provide timely administrative support to ensure we maintain our company accreditations.
- Support the QMS lead on internal audits, co-ordination of external audit actions, project closure and feedback process.
- Provide EMS admin support, internal audit and file management. Taking over lead of EMS following the external audit.
Financial & reporting
- Raising a small number of fixed fee invoices and credit notes. Helping to improve the month-end invoicing process through error reduction.
- Generating the monthly invoice schedule.
- Chasing PM’s and reconciling forecast vs actual invoice values after month-end
- Create PO’s in WFM for projects.
- Calculate the cross charge for consultant’s time between Canada/London.
- Prepare and distribute Canada WIP report, publishing monthly, for discussions with the Canada team.
- Monthly preparation of the financial dashboard for Canada
Administrative and house keeping
- Assist with clearing up after staff lunches, check areas are clean and presentable, put dishwasher on at the end of each day and assist with stock/supply checks.
- Assistance with answering the phone and door
- Update log, distribute articles, housekeeping of library and materials displayed.
- Keep CVs updated.
- Additional ad-hoc responsibilities as required.
Job Types: Full-time, Permanent
Salary: £27,000.00-£32,000.00 per year
