Job Purpose
Working in a friendly new team and department (Knowledge and Practice) this is an important role to ensure the effective operation and management of knowledge services to Members. The role will have day-to-date interaction with Members and internal teams across RICS. It will suit someone who enjoys being busy, thrives on pressure and wants to work in a supportive environment.
The most important responsibility is to manage the administration of Professional Group Panels that underpin the work of the Knowledge and Practice Department. These are in the process of being formed and are expected to be in place at the end of 2023.
The role is also to support the delivery of standards and practice information projects through efficient administration and to support the operations of the Knowledge and Information Services to Members.
Key Achievements & Responsibilities
Professional Group Panels have been newly formed and are critical to the effective running of the Knowledge and Practice Department and RICS. The majority of meetings will be virtual, but some will be face to face. The important tasks in this role are:
- Organisation of meetings – finding a suitable date when all Members of the Panel are available and scheduling and sending out appropriate invites.
- If meetings are face-to-face then booking meeting rooms, organising catering, and supporting Members in travel administration to come to the meeting.
- Organise agenda setting meetings and ensure enough time for agenda and papers to be prepared prior to the meeting.
- Supporting the Project Managers with any follow up actions and notes from the Meeting.
- Developing and utilise note-taking software to capture the inputs of the PGPs.
Finance
- Administration of purchase requisitions for relevant teams in the Directorate.
- Administration of invoices for relevant teams in the Directorate.
- Management of the corporate subscriptions with external bodies to ensure they meet the acceptable criteria.
Communications
- Raising tickets for changes to the websites.
- Ensuring coalition websites are effectively administered and managed.
- Project managing communications activity to support the work of Project Managers.
Knowledge and Information Services
- Provide support to the Knowledge and Information Manager in the resolution of Member enquires as and when required.
- Update Microsoft CE to keep an audit trail of query resolution.
Department Administration
- Ensure that project pipeline is up to date.
- Manage work through the Monday.comwhere appropriate.
- Other project administration tasks as and when required by key stakeholders in the Directorate.
- Undertake department administration tasks as and when required.
Experience Required
- Excellent IT skills in particular MS suite of Word, Excel, PowerPoint, Outlook, and Teams.
- Highly organised and efficient and able to juggle multiple tasks and priorities.
- Ability to work under pressure and for multiple stakeholders.
- Positive attitude looking to find a way to get things done.
- Strong oral and written communication skills.
- Comfortable developing rapport and relationships with senior people (inside and outside RICS).
- Strong personal ethics and professional approach.
- Self-motivated.
Experience
- Project administration role(s) within a medium or large organisation with multiple stakeholders.
- Organising committees or similar is advantageous but not essential.
- Working with senior staff members or stakeholders.
- Managing projects or any project management training is desirable but not essential.
- Working in a Membership organisation desirable but not essential.
