Role Summary
You will be required to provide administrative and secretarial assistance in support of the delivery of academic programmes. More specifically, you will be required to administer subject specific aspects of programme delivery and to provide administrative assistance to academic staff in support of programme delivery.
Academic Administration and Support is a flexible team and therefore, whilst this post has a focus on programme administration, you will be expected to contribute to the work of the Department in accordance with workflows relating to the academic year. You will also be expected to contribute towards the development of administrative systems and processes underpinning the academic work of the Royal Conservatoire of Scotland.
Main Duties and Responsibilities
▪ Provide effective secretarial and administrative support to academic staff as required.
▪ Provide administrative/secretarial support in support of ad hoc meetings as required.
▪ Assist in the administration and co-ordination of all performances, concerts, assessments, and events in consultation with appropriate academic staff.
▪ Liaise with the Human Resources Department regarding new and existing staff details on behalf of the Head of Department/Programme Leader to ensure all information held centrally is accurate and up to date.
▪ Coordinate and record the submission of progress reports from academic staff and to ensure distribution to students as required.
▪ Provide a central collection point for the collection of student assignments.
▪ Collect and collate module feedback results.
▪ Ensure effective communication with students in respect of programme delivery and timetabling.
▪ Assist the Head of Department/Programme Leader to co-ordinate the staffing requirements of the department, acting as a point of contact for part time hourly and fee-paid staff.
▪ Prepare examination papers ensuring security, accuracy, and appropriate moderation.
▪ Coordinate room booking required for programme delivery.
▪ Liaise with a range of external agencies in respect of programme delivery e.g. artistic companies, local authorities.
▪ Maintain general programme files.
▪ Administer student placements.
▪ Participate in the Conservatoires’ Goals Setting and Career Review process.
▪ Undertake any other reasonable duties as may be required from time to time by the
Programme Support Manager and the Deputy Registrar.
