Summary of Duties:
The Program Assistant serves as the primary point of contact with faculty, staff, students, and internal and external constituents for the Department of Mathematics and Statistics. This position performs technical and complex clerical duties, to include but not limited to, completing routine assignments in support of the department. Within Workday, the Program Assistant serves as the accountant, department buyer, and facilitates Procurement Card purchases duties; preparing spend authorizations and processing expense reports, serving as timekeeper for hourly employees and troubleshooting issues for employees, and creating suppliers and processing supplier invoices.
Under the office support role, the duties include serving as the primary point of contact with faculty, staff, students, and internal and external constituents for the Department of Mathematics and Statistics. Assists parents with questions regarding use of ALEKS placement and/or refers to appropriate individual for further attention. Adheres to FERPA regulations and confidentiality of student/faculty/staff information. Serves as a resource regarding departmental policies and procedures as they apply to the duties in the front office. Establishes, maintains, and revises electronic and manual file systems, databases, spreadsheets, and templates. Maintains department key inventory, requests replacement keys as appropriate, checks keys in/out, updates/maintains accurate key card records, and recovers keys at the end of the academic year.
Under the fiscal responsibility role, the duties include tracking use of departmental travel allocations. Directs travelers to prepare internal departmental Travel Request forms and processes reimbursement in Workday. Performs all department purchasing transactions including credit card reconciliation. Under the academic support role, duties include gathering course syllabi, coordinating exams, reports, and fiscal documentation, photocopying and distributing as necessary. Coordinates and monitors temporary employment performance evaluations process each semester. Schedule and arranges meetings and special events in department rooms.
Required Qualifications:
- High school graduation or equivalent AND two years of full-time clerical experience OR equivalent education/experience. One year full-time experience providing customer service in a complex and busy environment.
- Demonstrated excellent communication skills, both in writing and verbally.
- Ability to multi-task and cope with constant interruptions while maintaining composure and completing assignments.
- Experience using Microsoft Office programs (such as Word, Excel, Access, PowerPoint, and Outlook) or equivalent, to perform a variety of tasks, such as merging and sorting, integrating text with graphics, and creating footnotes and outlines; and demonstrated experience using spreadsheet software.
Preferred Qualifications:
- Previous experience working at WSU, or another higher education institution. Experience working with students and/or faculty.
- Experience with WSU business policies and procedures and working with WSU computer systems, such as MyWSU, Workday, or equivalent.
- Willingness to learn Workday processes and/or experience within Workday.

Monthly Salary: Range 37 | $3,145 to $4,174 (A-M) | Successful candidates typically begin at the beginning of the salary range and receive scheduled salary increment increases in accordance with WAC 357-28 OR applicable Collective Bargaining Agreement.
