VPUE is seeking a Program Coordinator to provide administrative and operational support to the First Year Experience (FYE) team in the office of Academic Advising. Reporting to the Director of Frosh & Transfer 101, this position provides general administrative and event support to the programs overseen by the Frosh & Transfer 101 team, which is responsible for implementing Frosh 101 and Transfer 101 in fall quarter as well as training classes for student leaders. The Program Coordinator also provides support to other FYE programs, including the Leland Scholars Program, Approaching Stanford, NSO, and Transfer Advising Programs, and carries out general Academic Advising administrative duties, as needed.


In this role, you will:

  • Manage and monitor administration of financial tasks (e.g., processing PCard transactions, reimbursements, and student stipends) using Oracle and create financial reports to ensure adherence to the budget.
  • Manage student leader mailing lists and respond to routine inquiries in the shared program inbox.
  • Oversee administrative duties, including creating and editing course sections on Axess, tracking section enrollment, and coordinating with TAs’ schedules.
  • Coordinate supplies and other program logistics for courses UAR 194A, UAR 194B, Frosh 101, and Transfer 101.
  • Help recruit, onboard, and support future student leaders (TAs and co-leads).
  • Assist with maintenance of website content and design.
  • Provide additional programmatic support, especially to the broader First Year Experience (FYE) Team - the Leland Scholars Program, New Student Programs, Stanford Summer Fellows Program, and Transfer Advising.
  • Frequently sit, perform desk-based computer tasks. Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 10 pounds.

To be successful in this role, you will bring:

  • Associates degree and one year of relevant experience, or combination of education and relevant experience.
  • Strong written and verbal communication skills.
  • Basic computer skills, including experience with Microsoft Office Suite and email applications. As an example, must be able to create Microsoft Excel reports that summarize results in an easy-to-read format.
  • Excellent customer service and interpersonal skills – a team player.
  • Basic office administration skills.
  • Ability to learn compliance with legal, financial, and university policies and external regulations.

  • Experience with event logistics

The expected pay range for this position is $34,000 to $76,000 per annum. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
