The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
Community Impact (CI) is part of University Life, which is a central division at the University focused on enhancing the student experience across Columbia’s 17 schools and colleges. University Life programs and initiatives are informed by three core values: inclusion & belonging, student well-being and sexual respect. The University Life division consists of four departments: Student Life, Center for Student Success and Intervention, Religious Life and Community Impact.
The Program Coordinator reports to the Senior Associate Director with the primary responsibility to manage our internal systems for gathering tracking and outcome data and reporting to our Grant Managers at New York State Education Department (NYSED). Additionally, secondary responsibilities are to function as the Office Manager for day-to-day operations, assist Senior Associate Director with HR functions, and lead student leadership initiatives. The position includes supervision of up to 10 work-study students to assist in completing the work.
Responsibilities
Grant Management responsibilities
Track and manage data gathering across all adult programs, ensuring all reports for NYSED are completed in a timely manner
Track participant enrollment, attendance and outcomes and collaborate with program managers to ensure we meet the goals
Input data in the ASISTS database and keep up with evolving grant policies and requirements.
Attend all NYS trainings and meetings regarding grant requirements and share important policy changes and deadlines with Program Director and Program Managers
Train program managers and student staff to gather and track required grant data
Monitor student folders to ensure that they contain required information including assessment tests, Individual Student Record Forms (ISRF), Disability forms, photo releases, and student work
Collaborate with ESOL and GED program managers to facilitate communication and alignment across our programs
Ensure all student and permanent staff attend required Regional Adult Education Network (RAEN) trainings and track attendance; work with program managers to monitor compliance
Supervise outreach efforts with other community-based organizations (CBOs); keep CI brochures and program flyers up to date; set up partner meetings and connect staff with appropriate partners; and keep partner list current
Office Manager responsibilities:
Hire, train and supervise Welcome Desk student staff and ensure front desk is always covered
Coordinate system for securing rooms from various departments/schools within the University and at partner sites
Act as the lead IT liaison with the University regarding all office equipment
Order all office supplies
Actively contribute to the implementation of organizational strategic goals and objectives; help advance CI mission and values
HR and Onboarding Responsibilities
Develop and maintain relationships with other departments/schools within the University regarding volunteer and work-study recruitment, classroom space, etc.
Work with staff to interview new student work-study candidates and assist in finding appropriate assignments for each student employee
Assist with the submission of required paperwork to move work-study students to Casual and make changes in positions and wage amounts
Conduct preliminary orientation with all new student employee hires
Assist program managers with the recruitment of volunteers from CU and the community through flyers, social media, open houses, postings, newsletters, etc.
Program Responsibilities
Develop student leadership opportunities across CI programs and throughout the University
Work with program managers to develop CU student leadership in the adult programs including skills training sessions, meetings, and collaboration across CI programs
Manage Regional Adult Education Network trainings for staff, student employees and volunteers; maintain and update spreadsheet that lists available trainings; and monitor training attendance
Minimum Qualifications
Bachelor’s degree and/or equivalent experience required. Up to 2yrs. of related experience.
Excellent Microsoft Office skills
Self-motivated and able to work independently
Ability to multitask and be flexible
Demonstrate ability to successfully work and communicate effectively and respectfully with youth and adults of all cultural and socioeconomic backgrounds
Demonstrate ability to successfully work in a goal-oriented team environment
Preferred Qualifications
Experience in program management and/or government grant management
