Location: Train Maintenance Depot, Leckwith Road, CF11 8HP, Cardiff
Salary: £21,121/year
Working hours: 37.5h/ week
Work schedule:
Monday - Thursday 8:30am - 5:00pm; Friday 8:30am - 2:30pm
PURPOSE OF THE JOB
To provide an efficient data entry and administrative support service for the department. To contribute generally to the overall production, working to expedite deliveries in line with agreed dates and in line with Company policies and procedures. This is a dual office / shop floor role, (approx. 60/40), which will include identification and control of dirty customer asset delivered to site for overhaul.
PRINCIPAL ACCOUNTABILITIES
· Entry and comparison of data to Winman.
· Update R2/Ravers Rail Wheelset Monitoring System.
· Raise job numbers to customers’ orders.
· Assist with the employee timesheet ensuring correct hours are allocated to jobs on Winman.
· Verify invoice data against purchase order information, ensuring accuracy and escalating issues where appropriate.
· Scan and archive Inspection Records for all Wheelsets dispatched, and scan archived documentation that has not currently been saved electronically.
· Notify our Commercial Department of wheelsets dispatched so that invoicing can be arranged.
· Monitor material stock levels, including assisting with shopfloor stocktakes and material reviews.
· Participate as and when required in one-to-one meetings and undertake, as appropriate, courses/training/other developmental activities, relevant to the role.
· Ensure the delivery notes are compliant with assets received, reviewing delivered customer asset quarantined pending overhaul.
· Assist with asset delivery documentation.
· Keep up to date with developments within the Company and other sector-wide practices, that influence the day-to-day activities within the role, ensuring compliance with relevant legislation and any other relevant internal/external factors (e.g. Company policies and procedures, Quality Management standards, Health and Safety).
· Ensure, in the course of employment, complete confidentiality is maintained in respect of the Company, its dealings, transactions and all other information relating to clients/customers/staff etc.
· In addition to the duties and responsibilities outlined, you must be prepared to undertake such additional duties which may result from changing circumstances, but which may not of necessity change the general character or level of responsibility to the post.
SKILLS and EXPERIENCE
· Knowledge and experience Microsoft software packages (Excel, Word, Access, PowerPoint).
· Excellent verbal and written communication skills including an ability to effectively deal with telephone and email enquiries.
· Able to work with speed and accuracy with attention to detail.
· Effective organisational skills.
· Able to work under own initiative with minimal supervision.
· Experience of expediting materials and exceeding customer expectations.
· Evidence of ability to work co-operatively with others to meet tight deadlines.
· Ability to identify alternative solutions to problems.
QUALIFICATIONS
· 5 GCSE’s A to C (Mathematics and English essential).
