Griffin and Brand is one of the leading importers of fresh produce in the UK. We are a family business established in 1967 and we supply various sectors including retail, food processing and wholesale markets with a 365-days-a-year service.
Main Purpose
As a member of the production team, you will be responsible for the day to day administrative activities for the production department. This includes maintaining and checking documentation to meet our BRC (audit) requirements. This role is quite broad covering various different activities from Induction of new starters, maintaining training records, creating new jobs on EAP system, checking invoices, ordering of products.
Hours are 9am to 6pm, with 1 hour unpaid break, Monday to Friday. During the summer we ask for some flexibilty and the start and finish times may be earlier for our quiet period.
Essential Duties and Responsibilities:
· Administration- Planning and coordinating administrative procedures and systems and devising ways to streamline processes. Reviewing packhouse documents to ensure they meet the correct specification. Communicating any product specification and new label, product, controlled document change with Packhouse Management, Line Leaders and Print room Operators.
· Production paperwork - Collating and reviewing all production records and paperwork on a daily basis. Maintain Agency Records for time sheets and check against invoices.
· Job sheets- Creating line jobs on computer system and printing all relevant paperwork.
· Cleaners - Assess staff performance and provide coaching and guidance to ensure maximum efficiency.
· Production - Communicating with Line Leaders to resolve any issues that arise. Assisting the Production Manager to ensure all rules, policies and procedures are adhered to. Assisting the Production Management in ensuring all customers orders are produced in time and to the correct specification.
· Stock control - Ensure that the cleaning stocks are kept to the optimum level to ensure that there is enough stock and communicate any shortages to Production Manager.
· Due Diligence – Complete regular checks to ensure that paperwork is completed correctly and up to standard, report any issues to the production managers for investigation.
· Stock take – Check and monitor stock levels of cleaning chemicals, first aid equipment, PPE. Monitor and order packaging in the packaging admin’s absence.
· Training and motivation of staff – Assisting the Production Management with supervision, training, and motivation of all production staff. Monitoring the training records for staff and ensuring that these are maintained and up to date.
· Induction training – Deliver induction training to new starters and ensure that that have all the required PPE before commencing work. Complete relevant new starter paperwork and training records.
· Distribution of memos and updated documents - Ensure that memo’s / document updates are communicated to staff in a timely manner and training records are updated were applicable.
· Hygiene standards – Maintaining good hygiene standards in the Packhouse and surrounding area. Ensure that daily and weekly cleaning is carried out effectively and efficiently.
· Enforce Regulations - Ensure that all members of the team follow company policies and procedures, and that Healthy and Safety regulations are being enforced to meet safety compliance.
· Cover in absence – Cover the Packaging Admin in their absence.
