Position: Assistant to the Producer
Reports To: Producer & Founder
The Assistant to the Producer is an administrator who works closely with Vek Labs' Producer throughout the production process. They are involved at the pre-production stage through to post production and distribution. They must be well organized, flexible, and have a good overview of the production process. The producer will determine their responsibilities. Their tasks will include email management for founder and producer at Vek Labs, pre-production board development, drafting emails, making phone calls, taking notes on client calls, research for productions, coordinating between clients and stakeholders, assisting with scheduling meetings, liaising between the producer and the post production team, and preparing concise briefs for both the Producer and Founder at Vek Labs. They may also be asked to help with copyright, and prepare accounts payable (quotes and invoices) for producers approval to send to clients. They are sometimes asked to contribute to strategic thinking in relation to projects in development.
SKILLS REQUIRED:
- Knowledge about the Film Industry and Pre-Production.
- Knowledge of Asana Project Management Software
- Comfortable within Google Workspace and Gmail
- Excellent Organization Skills
- Excellent Communication Skills
- Minimum Typing Speed for Administrative Role: 60 Words Per Minute
- Ability to handle confidential information
- Self-starter, comfortable with working remote.
- Knowledge of "Calendly" software and other online business applications
- Knowledge of Quickbooks considered an asset
- Knowledge on Milanote considered an asset
RESPONSIBILITIES:
- Preparing daily briefs for producer
- Taking notes on all production meetings and client calls
- Delegation and organization within project management software
- Management of company Calendar and producers Calendar
- Drafting emails for approval, and eventually executing emails on behalf of production team
- Booking meetings and scheduling for producer and above the line crew
- Managing all client correspondence when producer is on set
- Multiple email account management and labelling/organization
Job Type: Full-time
Salary: $20.00-$25.00 per hour
