The Role:
Our centralised corporate services departments operate on a global scale but work like a local team. Combining their experience and expertise, they work collaboratively with the aim to continuously improve our vital people and business functions. We are currently expanding our Procurement capabilities to meet the needs that our business growth requires.
Reporting to the Procurement Manager, the Procurement Specialist is responsible for the sourcing and procurement for the indirect spend categories such as IT, Professional Services, HR, Marketing, Travel, and Communications.
The key objectives for this position are to create cost benefits, the highest, most efficient service delivery, minimize risks and gain control of all current and new contracts. The role will also support the purchasing for the product line Software, Processing and Imaging (SPI)
Key Responsibilities:
- Oversee and deliver agreements and contracts with suppliers as required, in close coordination with Legal and Trade and Compliance.
- Negotiate contracts and counter-propose to suppliers in collaboration with the Procurement Manager.
- Work with business managers to identify areas with cost-saving opportunities and draw out strategic sourcing plans for each assigned category.
- Leverage the spending power and rationalize the supplier base used for the indirect spend categories.
- Lead sourcing activities for corporate services by collaborating with stakeholders to define the scope of work, price schedule, KPIs etc.
- Execute Requests for Information (RFI) and Requests for Proposals (RFP), compile results, analyze proposals, and recommend the preferred supplier to the management.
- Negotiate discounts, seek out new opportunities for cost savings and quality improvements, financial control and re-evaluate suppliers as necessary, without the need for direction from management.
- Work closely with the Procurement Manager, crafting effective procurement strategies with a focus on Cost Management, Project Management and Technological Improvement to maximize potential reducing vulnerability and ensure a successful procurement for all Corporate categories.
- Provide support for strategic purchasing frameworks.
- To negotiate quotes with suppliers, ensuring it has the quality, optimum prices and deliveries with suppliers for equipment/materials and services purchased.
- Ensure purchase requisitions are processed to fulfil purchase demand for equipment and services within the timeline required.
- Be aware and follow Trade Compliance guidelines.
- Work closely with Finance Team to help controllers assign costs accurately and improve reporting and forecast.
- Provide reports upon request to the Business Line.
- Analyze spending per function and review periodically with business managers to identify opportunities for cost savings.
Education, skills and experience:
- Degree level or equivalent would be desirable
- CIPS qualified or studying towards would be desirable
- Proven experience within procurement and sourcing
- Ability to identify suitable suppliers, request quotations and chase through on quotations
- Ability to source parts and services to meet urgent production demand, chase order confirmations and deliveries
- Self-Starter with well-developed organisational skills
- Ability to analyse, interpret and present data
- Tenacious, flexible and proactive approach
- Proven experience with global operations and ERP systems (SAP, Oracle or similar)
- Confident communicator
- Strong IT skills including Microsoft Word, Excel, PowerPoint, and Outlook
- Possess a positive attitude, interpersonal and communication skills. Sound business ethics and consistency with principles, values, and behaviour.
- Good verbal and written English skills.
