Job description

The role is to provide procurement data gathering, analysis and reporting service to the Procurement department. To harvest, format and analyse data from across the Trust and provide both regular and ad hoc bespoke information reports as required.

You will develop and implement effective methods for analysing and interpreting this data and creating reporting tools to effectively disseminate information in a clear and comprehensive way.

Support the development of the end-to-end sourcing and contract management IT system. Design, develop and produce high level analytical reports and ad hoc dashboards/reports on a routine basis and play a key role in establishing and maintaining governance and assurance systems for monitoring trends and improving data quality.

Extract, integrate and analyse data from the finance & procurement systems to present to a variety of audiences. In addition to standard monthly reports there will be ad hoc requests from members of the Procurement team to assist in their respective projects.

Support the sourcing to contract management IT system. Manage the day to day administration and configuration of the current/future procurement system and integration(s) by ensuring its availability, integrity and security setting up user accounts and delivering training to staff.

Design, develop and produce high level analytical reports and ad hoc dashboards/reports on a Trust routine basis and play a key role in establishing and maintaining governance and assurance systems for monitoring trends and improving data quality.

Reporting to the Deputy Head of Procurement but providing support to all members of the Procurement team as needed. Working closely with colleagues in finance and external providers.

The current working arrangements for the team are to be in the office (at the HQ on Waterloo Road) 3 days a week and work from home 2 days a week. However, this is subject to change due to service requirements.

Be the key contact for all matters relating to the Procurement and Contract Management system.
Take the lead role in the day-to-day system administration of the Supplier database and Performance Management Systems assisting with troubleshooting and resolving issues with internal and external technical support.
Work with the Category Managers and Buyers to ensure all the information is up-to-date
Deal with all enquiries in a proactive manner

Be the administrator and super user of the Contract & Performance management system.
Responsible for the reporting and extraction of data in report formats from the Contracts & Performance management system, Finance and other systems.

Ensure that data quality of information held in the systems is of a high quality, up-to-date and adheres to the Data Protection Act (as amended).
Develop procedures to maintain the quality and auditing of data.
Conduct regular audits and analysis of information and make appropriate
recommendations, and communicate findings to all levels of management.
Oversee the management of data cleansing and data validation exercises of information held in the procurement systems and ensure that these are completed in a timely manner.
Produce reports highlighting any areas of concern
Assist in the development and implementation of written procedures for all aspects of the Procurement Systems.
Produce reports, documents and presentations using an advanced level of IT skills, using packages including Word, Excel and PowerPoint and with the ability to extract information from databases as relevant to the Directorates and Contract Management programme workstreams.
