Job Summary
General Practice Assistant (GPA) will deliver and assist dispensary staff at the Penshurst site. You will be responsible for monitoring and the administration of the repeat prescribing program for all patients on repeat medication. Ensuring the Chronic Disease recall system and monitoring process operates in line with protocols.
You will be frequently dealing with patient queries via the telephone, face to face or by email and liaise with the Practice’s clinical staff regarding any queries.
Run searches in EMIS clinical system to ensure the practice meets the Quality and Outcomes Framework (QOF) targets.
You will work between both Practice sites Penshurst and Tonbridge.

Primary Responsibilities – Dispensary , working 8.30am to 12.30pm
The following are the core responsibilities of the GPA. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
- Provide support with processing and dispensing of prescriptions at the Penshurst site
- Collecting prescription charges in accordance with dispensary protocol
- Maintaining stock levels within the dispensary, liaising with the dispensary manager to facilitate reordering
- To be responsible for checking all medicines dispensed, ensuring there are no discrepancies
- Assisting the dispensary manager in the preparation of monthly returns
- Dispense prescriptions once you have completed the Dispensing Assistant Course (DPA)
- To undertake a wide range of administrative duties and the provision of administrative support to the multidisciplinary team.
Primary Responsibilities – QOF Office, working 2.00pm to 5.00pm
- Issue repeat medication for patients
- Deal with queries on repeat medication from patients and other staff members
- Ensure that repeat prescriptions are issued within 72 hours
- Issue Chronic Disease review invites as per protocol and follow up as required
- Run searches to ensure recall of patients for all QOF elements of GP contract
- Monitor QOF position regularly
- Liaising with external agencies such as Pharmacists and other community services,
- Manage all enquires in an effective manner
- Input data into the patient’s healthcare records as necessary
- Manage all administrative queries as necessary
- Carry out system searches as requested
- Maintain a clean, tidy, effective working area at all times
- Support all clinical staff with general administrative tasks as requested
- Help run and compile monthly, quarterly and annual reports
- Keep up to date with QOF changes as required
- Communicate effectively by competent use of email, telephone, written and face-to-face communication
- Ensuring timely and accurate handling of messages / tasks, ensuring all unresolved or urgent matters are prioritised
- Have a working knowledge and adhere to all aspects of information governance, data protection and confidentiality policies. Ensure that patient confidentiality is maintained at all times.
- Check patient details against a range of data sets to ensure a high level of data quality.
- To work at times, with little supervision, prioritising and managing your own workload on a day-to-day basis
- To ensure the Practice’s ongoing compliance with the CQC’s (Care Quality Commission) essential standards of quality and safety.
- To take an active part in the appraisal process.
- To comply with all relevant Health and Safety regulations and assist the Practice in the implementation of its own Health and Safety Policy.
- To comply with and actively promote the Practice’s Equality and Diversity Policy.
- To support sustainability practices and recognise the shared responsibility of carrying out duties in a resource efficient way.
- To undertake any other duties as appropriate.
Essential Person Specification
- Educated to GCSE level or equivalent
- Willingness to undertake a Dispensing Assistant Course
- Experience of working with the general public
- Experience of working in a pressurised setting
- Ability to work with own scope of practice and understanding when to seek support
- Accuracy and attention to detail
