Job description
Duties/Responsibilities
- Other duties as directed by the Contract Manager or Office Supervisor as and when required.
- To locate and distribute new service requests and specific notes from the CMS Database as and when required.
- To update the CMS database from relevant verbal and written communications as and when required.
- To create purchase orders in respect of orders for services and goods required on the contract and all associated administrative requirements.
- To pursue and trail the costs and delivery of parts and spares ordered from Manufacturers and Suppliers.
- To log, pursue and trail service requests referred to third parties.
- To respond to trader’s queries via the JTI CCL as and when required.
- To ensure specific administration arrives from contract staff on designated time scales.
- Update and maintain a visual Planner on locations and availability of specific Field staff.
- To plan and record installation and project works.
- To collate, monitor and analyse daily/weekly and monthly figures and report to the planning supervisor accordingly.
- To work as a team in order to attain best results.
- To assist in the processing of holidays, absence and sickness on all contract staff.
- To produce specific reports from the CMS systems for the contract manager as and when required.
- To ensure that planned and reactive maintenance is completed in an efficient way in both time and travel.To enforce compliance with all EMCOR rules and requirements regarding Health & Safety and common working practices.
- Be prepared to cover other members of the team during their absence or when workloads dictate.
- Be prepared to do reasonable overtime as required by the contract manager depending on workload and JTI’s approval
- No direct reports Responsibility for:
- Planning of installation, reactive and planned maintenance work on JTi equipment to agreed SLAs
- Maintaining records to meet H&S and audit requirements of field engineers.
- Liaising with field operatives to deliver EMCOR services
- Raising of purchase orders for materials
Person Specification
- Be prepared to occasionally stay away from home on average 3 to 4 days per annum to meet needs of business.
- Position is office based with working from home when requested
- Good timekeeper with organisation and planning skills including local route planning and priority setting.
- Self-motivated and a good team player.
- The ability to make sound judgements and decisions in line with the company’s guidelines and objectives
- Interpersonal and communication skills, both oral and written, demonstrating the ability to convey specific details to relevant parties
- Ability to deliver good customer care.
- Be computer literate and competent in IT skills (Word, Excel etc).
- Formal qualifications in a trade discipline required with experience in retail installations / refurbishments preferable.
- Ability to prioritise works within SLA requirements
- Incentive scheme based on performance.
- Working hours 08:00 to 17:00 Mon – Fri (40hrs per week with 1hr for lunch)
- IT equipment, mobile phone supplied.
- Office based with occasional working from site and or home.
- 25 days plus Bank Holidays leave per annum.
- May be required to work away from home occasionally (3 - 4 days per annum)
- Experience in similar position desirable
