A fantastic opportunity has arisen within the Ambulatory Care Division at Nottingham University Hospitals. We are looking for a dynamic and enthusiastic person to join our team, in supporting our Divisional Leadership Team by delivering a high quality secretarial and administrative service.

Main duties of the job

Working as part of a small team the post holder must exercise initiative to organise their own workload within defined deadlines facilitating a efficient and effective service ensuring the administrative requirements of the Ambulatory Care Divisional Leadership team are well met.

Some of the key elements are:-

To organise meetings both on MS Teams and Outlook for physical and virtual meetings which may involve co-ordinating the diaries of a number of senior staff from both inside and outside of the Trust.

Use and maintain administrative systems/databases/reports/ action logs.

To maintain information systems to support the Divisional Leadership Team, such as circulation lists, regular meeting dates and venues, medical annual leave records.

Qualifications

Essential criteria

  • RSA Level 2 & 3 Word Processing (or equivalent)  A minimum of 5 GCSEs or equivalent qualifications including English  NVQ level 3 in administration of equivalent
  • Experience working as a PA or Senior Secretary
  • Competent in the use of Microsoft Office applications; Word, Outlook, Excel and PowerPoint
  • Experience of minute taking at high level meetings
  • Experience of supporting multi-professional teams and individuals
  • Interpret information from a wide variety of sources and communicates appropriate content
  • Ability to build relationships with work colleagues and demonstrates the ability to work as part of a team
  • Prioritise and respond to planned and unplanned situations on a daily basis
  • Exercise judgment when dealing with senior members of staff, clinicians or external clients

Desirable criteria

  • Previous experience of working in NHS
  • Experience at working for Director Level

Salary: The quoted salary will be on a pro rata basis for part time workers.
