Responsibilities:
- Liaises with Senior Personnel Coordinator to ensure skillsets of offshore personnel are in line with project notification and work scopes
- Liaises with Travel provider to schedule flights, hotel and rental car accommodations for all regional employees and provides itineraries in a timely manner.
- Ensures route and carrier options are most appropriate based on project needs and employee's departure points.
- Researches alternate options when preferred travel is not available.
- Responsible for all data inputs into personnel, Training, and Competency registers, ensuring that personnel are in possession of the necessary current certification required for their discipline/position and updated certificates are uploaded to the company's IMS.
- QC of regional travel logs to ensure accuracy.
- Responsible for the review of Global travel providers invoice to ensure accuracy, correct project codes are referenced, and invoices are presented with supporting documents.
- Works directly with accounts payable and cost controller to ensure purchase orders and accounts are in order.
- Identify, recommend and implement system or procedural improvements.
- Provide administrative support to Operations Team including, but not limited to, general clerical, receptionist and project-based work
- Assist existing operations staff with the organizing, tracking and execution of all purchase orders, and invoices.
- Have a good knowledge of the core competencies required for offshore disciplines in the global field pool.
- Work closely with business unit teams to deliver personnel to the vessels in a timely manner.
- Actively participate and lead by example in the Company's Quality and HSE Systems and Procedures
- Understand and comply with the company's policies and procedures
- Reports to the Operations & Resources Manager
- Liaise with Regional Operations team and Field staff
Experience & Qualifications:
- Previous experience within travel coordination role is essential
- An understanding of the processes required to mobilize and travel personnel to international, offshore worksites (ticketing, visa, work permit, inoculations etc.)
- Must be team-oriented, possess a positive attitude and work well with others
- Undertake agreed training and development in order to provide a framework of knowledge and skills required to perform effectively in the company.
- Participate in annual and regular performance appraisal with Line Manager identifying and agreeing personal development and action plans
- Proficiency with Microsoft Excel is essential
- Ability to perform tasks and achieve results with a high degree of accuracy and precision
- Ability to work both independently and within teams
- Must hold a valid passport free from status or restrictive conditions that preclude travel to and work in countries where the Company routinely operates
