The Role: You will be responsible for supporting the Editor (TLS) in day to day activities. Operating in a highly professional and well-organised way with excellent communication skills. This is a busy and demanding role involving a very high degree of organisation and anticipating the needs of the Editor. You will be used to working in a fast paced environment and be able to cope with an ever-changing workload. You will provide PA support with diary/travel and meeting management, making decisions and constantly thinking on your feet.
Day to day you will:
Being the first point of contact for contributors, collating the information necessary for creating their account, answering queries, ensuring timely payment and managing the relationship with the contributions department in Peterborough.
Complex diary management, schedule meetings, prepare agendas and take minutes.
Ensure timely arrival for meetings.
Travel arrangements and detailed travel itineraries.
Liaise with Editor’s offices, Exec teams and TLS team.
Manage relationships with external partners/ clients.
Identify deadlines and ensure these are prioritised appropriately.
Prepare and deliver reports.
Expense processing.
Ad-hoc project coordination.
General administrative duties.
What we are looking for from you:
Experienced PA with excellent communication skills and good use of English language and grammar.
Previous experience of supporting an exec member would be an advantage.
Highly organised with exceptional attention to detail.
Strong interpersonal skills and ability to build relationships at all levels.
Ability to work on your own initiative and execute ad-hoc tasks as required.
Accustomed to being exposed to sensitive information and maintaining confidentiality.
Knowledge of Google Drive, including Google Docs preferable.
