Personal Assistant to CEO
Permanent - Full Time
Liverpool
Role Outline:
Providing support to the CEO and a high profile client in respect of business administration, personal administration and ad hoc support.
The role will involve working from home with a requirement to provide support and attend regular meetings and updates in the Liverpool office. In view of this, the ideal candidate will be located within a 25 mile radius of the Liverpool office.
Structured and methodical approach, possessing good attention to detail, with a tactful and discreet approach.
Due to the nature of the client’s business, the role will involve regular work in the evenings and support at the weekend as part of the role.
Key Responsibilities:
· Arranging / co-ordinating meetings and schedules for the CEO and the client.
· Organising Calendar invitations and scheduling appointments and answering or redirecting routine enquiries from internal or external sources.
· Accessing the business email account for all PR / Media related enquiries.
· Arranging personal / out of hours appointments and dealing with personal matters as directed.
· Complete organisation of personal household related paperwork, paying bills and all relevant administration in relation to the client’s personal assets.
· Organising files and client paperwork in an organised and efficient manner.
· Fielding and dealing with telephone enquiries in a professional manner, taking messages and referring calls where appropriate.
· Booking / arranging social activities for the CEO / key clients
· Supporting projects, providing administration support and progressing actions were relevant.
· Updating the CEO on representation agreements on a quarterly basis.
· Arranging client travel / rail tickets and general support of travel across the business as required.
· Arranging domestic and international travel, visas, accommodation and itineraries.
· Liaising with clients, suppliers and other staff where applicable.
· Coordinating internal and external meetings / conferences so that they run smoothly, including scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available and providing IT support as required.
· Handling and processing documents and reports for meetings.
· Liaising with the CEO on a weekly basis with regard to the client’s needs
· Offering support to other areas relating to the office as and when required.
· Carrying out any other duties that are reasonably asked of within the role - these requests may also be applicable over the weekend.
Personal Specification:
· Previous experience of working as a Personal Assistant or Executive Assistant and maintaining confidentiality
· Excellent communication and interpersonal skills
· Proficient with all Microsoft Office programs
· An excellent eye for detail with a concern for quality and accuracy
· Discretion and trustworthiness
· A focused e-client service approach
· Experience of booking personal travel
· A team player with and ‘can do’ and flexible approach
· Strong organisational skills with the ability to multitask and prioritise
· Ability to remain calm under pressure
