Job description

Personal Assistant to Director who is a multiple business owner in UK and Spain. The sectors of the business range from design to construction, property development and investments. The successful candidate for this position will have experience handling high-level tasks, an ability to maintain confidentiality, an affinity for multi-tasking, and a professional work ethic. Additionally, the Personal Assistant will have to be well organised and have strong communication skills. Main duties within this role, is to assist director with running the daily operations across different projects.

Key skills and experience required:

  • Excellent communications skills both written & verbal
  • Proficiency in MS Office suites
  • Logistically minded, able to multi-task
  • Proactive and self motivated, able to contribute to best practices of a young business
  • A natural solutions-person, able to react and adapt to changing requirements
  • Positive attitude & well presented, ready to be client facing at all times
  • Absolute discretion with high profile clients, able to communicate at all levels
  • Law degree & experience dealing with contractual and constructional legal dispute

Key responsibilities;

  • Project assistance including scheduling deliveries
  • Acting as first point of contact; dealing with correspondence and phone calls
  • Calendar management for the team
  • Travel booking and coordination
  • Daily reception duties including fielding all enquiries
  • Personal management of directors comms, including taking dictation and gatekeeping
  • General office duties, monitoring resources etc
  • Ad-hoc personal duties to assist director
  • Managing office space and premises
  • Conducting search, overseeing and developing marketing campaigns
  • Maintaining websites and looking at data analytics
  • Monitoring the business performance
  • Managing campaigns on social media
  • Writing and proofreading, Promotion activities
  • Preparing letter, presentation and reports
  • Helping Managing director with his all day to day tasks business and personal works
  • Responsible for day-to-day admin tasks for live construction projects – sending paperwork to site etc and all office filing all other admin works.
