Job summary
Main Purpose of Job:
The role of the Personal Assistant will be to assist the Superintendent with many aspects of his role. This will include liaison with the Congregations, projects and staff of BCM as well as Belfast City Centre Chaplaincy (BCCC), the wider Methodist Church and other community and government bodies.
Main Duties:
- To keep the Superintendent fully informed of all matters relating to the Superintendent’s office.
- To liaise with Staff, Congregations, the Methodist Church and other Agencies on behalf of the Superintendent.
- To service and arrange BCM’s Circuit Executive/BCM Board AGM’s.
- To provide administrative support to the Pastoral Team including the production of monthly/quarterly Announcements, amendments to the congregation spreadsheet and Baptism/Sunday Orders of Service.
- To work as a member of the Administration Team and contribute to its overall effectiveness.
- To accurately prepare reports, letters and other documentation relating to the Superintendent’s office, including monthly Church Announcements and weekly Orders of Service.
- To design and maintain accurate spreadsheets and produce reports in order to record and monitor information, provide accurate information/statistics to Methodist Church in Ireland.
GENERAL TERMS AND CONDITIONS
Duration: Permanent
Hours: 20 hours per week, Monday to Friday (start & finish times to be agreed)
Salary: BCM Scale Points 20 – 24 (£19573 to £ 23203 pro-rata)
Holidays: 20 days per annum pro rata plus 12 Public Holidays
Probation Period: Six months
Pension: BCM offer a Group Personal Pension. Staff will be required to make a minimum contribution of 3% of their basic salary to their personal pension. As per government legislation, eligible staff will be automatically enrolled into the company’s pension scheme following a period of three months. Staff can ‘opt-out’ of the pension scheme if they wish.

PERSON SPECIFICATION
Job Title: Personal Assistant
QUALIFICATIONS
- Excellent Numeracy and Literacy Skills
KNOWLEDGE & EXPERIENCE
- Minimum of 2 years previous experience working as a PA or in a similar type of role where calendar and database management /development have been key tasks.
- Proficiency in Microsoft Word, Publisher, Outlook, Excel
- Working knowledge of databases development and management
COMMUNICATION
- Ability to work as part of a team/or on own initiative with minimum supervision and maintain good relationships with colleagues.
- Ability to provide clear and concise written and verbal information/reports.
- Ability to maintain effective channels of communication within BCM and with partnering agencies.
- Ability to deal with congregations/projects and staff of BCM/ community/government bodies/customers/ in a professional and confident manner
APPROACH TO WORK
- Proactive in terms of attention to detail.
- Possess excellent organisation and time management skills.
- The ability to prioritise and manage a heavy workload with conflicting priorities
