In your role as Personal Assistant to the Chairman at MHR you will work on a one-on-one basis to assist in the support and delivery of the mission and vision of the organisation. As the first point of contact, you will take responsibility for all administrative workload and high-level operational support, in addition to aiding the Chairman in the execution of their personal accountabilities.
You will have superb PA skills and will be trustworthy, approachable, demonstrate a professional manner, and be an effective communicator both written and verbal. You always aim to be one step ahead and ensure responsibilities are delivered in a timely and accurate manner.
Proven experience supporting at an executive level, and of course, confidentiality is at the heart of this role.
- To undertake complex diary management and meeting schedules
- Ensuring the Chairman is prepared for all meetings, presentations, and travel
- Organisation of meetings, creation of agendas, and taking minutes where required
- Compile and circulate premeeting materials to be reviewed
- Help to agenda and next steps for interactions
- Proficient in touch typing, maintaining and issuing minutes of meetings including monthly board meetings where required
- Own travel and logistics bookings for the Chairman
- Assist the Chairman with document editing and formatting, creating templates and help execute on items such as presentation decks, report, written summaries.
- Work on and/or manage ad hoc projects and high-level events
- Assist the Chairman with bookings, time management and tasks for personal and household efficiency, including but not limited to restaurant bookings, professional selection and booking arrangements for household maintenance, personal trips etc
- Oversee and execute on personal projects as needed
- Ability to handle matters of a confidential and sensitive nature with professionalism and discretion
- Excellent interpersonal skills and confident approach in managing and building relationships with a wide range of senior stakeholders and external contacts
- Research skills including drafting and writing reports and the ability to present findings in a concise manner
- Strong written communication skills necessary to draft letters, reports, and other documentation
About you:
- Strong interpersonal skills are required to build close relationships with the Executive teams and collaborate closely with managers and colleagues in other roles
- Expert experience in a demanding role with similar requirements in diary and correspondence management
- Strict confidentiality and highest professional and ethical standards are required
- Being able to engage in a courteous and professional manner with stakeholders at all levels within the business
- Ability to work off own initiative and with little intervention or instruction
- Methodical approach and strong attention to detail
- Ability to be flexible and adaptable
- Able to plan, prioritise and deliver to tight timescales
- Be able to think strategically, understand the big picture, prioritise and to work independently
- Interest in business or demonstratable business acumen
- This role will be offered on a part-time basis, Monday-Thursday.
