We have an exciting opportunity for a hard-working individual to join the Group Secretariat Team. We need a proactive and versatile person who enjoys a wide-ranging workload to provide first-rate secretarial support to the Corporate Governance Director and the Company Secretary. This is a dual role where the successful individual will report to the Governance Director but also work in the dynamic Chief Legal Officer and Company Secretary’s office, having responsibility for Company Secretary PA duties and providing holiday cover.
What you'll have:
The individual will be a highly organised team player, have good keyboard skills, be personable, and able to deal confidently with colleagues and customers at all levels, including Board and GEC members and their offices. Discretion is crucial, as is being equally comfortable working as part of a team, or by yourself, whilst prioritising your own workload. You will need to be an experienced PA and a team player, displaying the Group’s values and behaviours in your interactions and ways of working.
What you'll do:
In this role, duties will involve being responsible for the Corporate Governance Director’s calendar, prioritising key meetings and preparation/reading time, ensuring papers are received timely to facilitate this. Helping to run and prioritise the inbox, flagging emails using pre-agreed categories, also prioritising anything urgent while demonstrating you can handle critical and highly confidential material appropriately. Providing support on Teams and Comms calls, including on the technical side. Good collaboration with the wider Company Secretariat and Board Support will be important, including working closely with the PA and team in the Chief Legal Officer and Company Secretary’s office, part of which will be providing PA holiday cover in addition to responsibility for Company Secretary PA duties. Taking care of incoming correspondence and distributing or delegating where appropriate. Other duties include coordinating travel and offsite visits, on-boarding/off-boarding of colleagues and recording teams’ holiday and sickness. The usual secretarial tasks of scanning, printing, filing, archiving as needed, PEGA system and IT requests will be required as well as being proficient in Outlook, Word, Excel and PowerPoint. For specific Lloyd’s systems, all training will be provided, as required. The expectation will be to provide administrative support with Director’s appointments, Governance queries and other ad hoc admin tasks. As PA support to the Chief Legal Officer and Company Secretary’s office, you will have defined, pre-agreed responsibilities, manageable alongside those above, with prioritisation being key.
