About the Role:
We are looking for an energetic, proactive, and highly organised PA to support us in our day-to-day personal and administrative tasks. This role is for an initial 6-months with a possibility for extension. The successful candidate will be responsible for managing various personal errands, administrative duties, booking travel and holidays and other responsibilities. Key Responsibilities:
- Manage personal and professional schedules, including arranging appointments and meetings, and ensuring smooth daily operations.
- Perform personal errands, such as shopping, delivery and returns, gift purchasing, and dry-cleaning pick-up and drop-off.
- Book and coordinate travel arrangements, including flights, accommodations, and transportation for both business and leisure trips.
- Manage household staff, including cleaners, maintenance personnel, and others ensuring all needs are met to the highest standard.
- Manage the care and daily routines of two dogs, including grooming, daily walks, occasionally house sitting and organising veterinary appointments.
- Handle confidential information with discretion, maintaining the highest level of trust and confidentiality.
- Administrative tasks, book-keeping, organising files and general admin.
- Undertake ad-hoc tasks and projects as required.
- Take initiative on your account to bring order to busy work/life schedules.
- Managing and responding to professional and personal emails, letters, and phone calls on our behalf. This may also involve the management of our social media accounts if applicable.
- Assisting with the planning and coordination of personal and professional events such as parties, fundraisers, conferences, and meetings.
- Oversee personal finances, pay bills, manage investments, and liaise with financial advisors and accountants.
- Scheduling and managing healthcare appointments, ensuring medications are stocked and taken as prescribed, and coordinating with healthcare professionals and insurance providers as needed.
- Overseeing home maintenance projects, purchase of property, following up with solicitors and agents, coordinating with contractors, and ensuring home insurance, utility bills, etc., are up to date.
Requirements:
- Proven experience as a personal assistant or similar role.
- Excellent organisational and time management skills, with the ability to multitask and prioritise tasks effectively.
- Strong communication and interpersonal skills, both written and verbal.
- Polite with a positive attitude to life.
- Proficiency in using office software, such as Microsoft Office Suite, Google Workspace, and project management tools.
- A valid driver's license.
- A love for dogs and experience in managing their care and wellbeing.
- Ability to work independently, as well as collaboratively within a team environment.
- High level of attention to detail and the ability to maintain strict confidentiality.
- Take initiative on your account to bring order to busy work/life schedules.
Bonus Points:
- Someone with a background or hobbies in the creative industry (e.g graphic design, interior design, fashion or photography)
- Someone with a background in administrative fields (legal knowledge, paralegal, accounting/book keeping, etc)
Work Schedule:
- Monday to Friday: 10am - 6pm
- Flexibility to work outside standard business hours, as needed.
- Some Work from home
